Accountability Objective
The Administrative Assistant for the Office of Academic Affairs is responsible for the management of the Office of Academic Affairs including all secretarial services, confidential matters, and coordination of many projects, programs, events and activities. Essential to the position is an individual with excellent project management and computer skills. The Incumbent serves as a liaison and frequently answers questions or gives direction to the Vice President’s staff of Division Deans, Director of Learning Services, Director of Hoopeston Higher Learning Center, Director of Education Programs at the Department of Corrections and Faculty.

Required Qualifications
Associate Degree in Applied Science in Business, Office Systems, or comparable experience

Proficient in note taking.

Ability to record minutes and prepare for future reference.

Exemplary customer service and interpersonal skills with the ability to work effectively and collegially with faculty, administrators and colleagues.

Demonstrated work experience of office management systems, equipment and technology.
Demonstrated competencies in Microsoft Office applications, including Excel, PowerPoint, Word, and Access as well as willingness to learn new software applications as needed.

Excellent organizational and time management skills with the ability to multi-task.

Excellent verbal and written communication skills

Demonstrate a commitment to the philosophy and mission of a comprehensive community college.

Project management and event planning skills. Including the ability to work independently on multiple assignments / projects and to work collaboratively within a team.

Problem-solving and decision making skills.

Ability to maintain the highest level of confidentiality and discretion at all times.

Desired Qualifications
Demonstrated work experience and proficiency in Word, Excel, Power Point and Access.
Knowledge in accreditation reporting and processes at the state, regional and federal levels.
Knowledge of ICCB and Higher Learning Commission policies and procedures.
Experience with SharePoint
Experience with Colleague / WebAdvisor.
