Job Description

The Arts Initiative, one of the key priorities of Notre Dame’s Strategic Framework, seeks to cultivate a thriving arts ecosystem in order to elevate innovative arts research and creative practice on and beyond campus. This university-wide initiative will spearhead collaborative research projects in the arts, promote strategic curricular innovation, and stage high visibility events with substantial community outreach.

The newly created position of Program Manager is a critical member of the Arts Initiative’s small, highly motivated launch team. The Program Manager supports the Initiative in a variety of ways, including by liaising with Arts Initiative constituents (faculty, students, staff, external partners, etc.), providing leadership for the Initiative’s programs and events, curating content for both digital and print communications, assisting the Faculty Director and Managing Director with the financial management, reporting, and overall administration of the Initiative, and other project-based work, as needed.

Position duties include:

Program and Event Management
Facilitates and co-leads the planning and implementation of multi-year research and curricular programs as well as public facing events such as conferences, symposia, guest speakers, visiting artists, student activities, and a biennial arts festival. This requires strategic thinking, a keen attention to detail, strong relationship management skills, and proficiency in technology for both in-person and virtual programming. May include some night and weekend work.

Storytelling and Reporting
In collaboration with the Faculty Director and Managing Director, curates content across investment areas and translates digestible pieces to promote our work through both digital and print media. Drafts externally facing materials, as needed, as well as regular content to the Provost’s office. Develops presentations, talking points, and materials for presentations and stewardship for Initiative directors. In partnership with the Managing Director, designs relevant data collection tools to track and measure the Initiative’s outcomes, and uses that information to draft internal and external reports on the Initiative’s work and progress.

Financial Management
Executes financial and fund management tasks, including preparing expense reports, processing payments, invoices, and deposits, managing vendor relationships, and ensuring accurate documentation and reconciliation of all financial records for the Initiative.

Course and Student Management
Works with appropriate units on campus to provide course management support to both faculty and students. Also assists with hiring, scheduling, assignments, and management of student workers.

Administrative Support
Serves as the administrative point of contact between the Initiative and its constituents, and helps to foster a sense of community among arts leaders on campus. This ranges from responding to general requests, to ordering supplies, to managing committee meeting agendas and logistics.

Minimum Qualifications

  • Bachelor’s degree
  • At least 3 years of relevant experience in program coordination, event management, and/or arts administration
  • A deep commitment to the mission of both the Arts Initiative and the University
  • Self-directed, team player with a willingness to take initiative as part of a small team
  • Comfortable navigating ambiguity in a startup environment
  • Highly organized and detail oriented with the ability to juggle multiple demands simultaneously
  • Strong written and oral communication skills
  • Ability to handle sensitive or confidential information with discretion
  • Proficient in Microsoft Office suite and Google Workspace
  • Ability to learn Notre Dame’s software systems, policies, and procedures (GLez, BuyND, etc.), as well as an online project management system (such as Asana)
  • Willingness to work occasional nights and weekends based on event schedules

Preferred Qualifications

  • Bachelor’s degree in an arts or humanities discipline
  • Experience working in academic, arts, and/or non-profit environments
  • Previous experience with Notre Dame’s software systems and campus procedures and policies (GLez, BuyND, etc.)
