JOB SUMMARY
The Operations Manager reports to the Assistant Director of Operations & Student Retention and is accountable for supporting teachers by tracking data on student outcomes and assisting with assessments and transcript requests. They will lead the team in recruiting students, managing student information, and auditing for compliance with California Ed. Code regarding Independent Studies. Additionally, the Operation Manager works closely with the Principal and Director of Student Services to ensure consistent application of all Five Keys policies and excellent support for all students.

The Operations Manager supports multiple in-custody and community sites in the Northern California region, including but not limited to Alameda, San Francisco, and Marin counties.
JOB DUTIES AND RESPONSIBILITIES
Student Services
- Recruit students in jail facilities and manage community student referrals
- Orient students to the Five Keys independent studies program
- Manage student information in the SIS, including enrollments, withdrawals, and transcript requests
- Work with the CIA team and teachers to facilitate CASAS testing on site
- Respond to student requests and meet with students needing interventions, in collaboration with teachers and the principal
- Work collaboratively with teachers and administrators to keep students on track to graduate
- Assist in managing and documenting student progress, including attendance, grades, behavior, and graduation
- Track and re-engage students released to the community
- Refer students to partners that provide re-entry services, e.g. substance use disorder treatment, housing, and employment
Compliance Audits
- Maintain confidentiality when dealing with student and staff information
- Ensure all Five Keys student policies are being met with regards to unit completion, transcript analysis, and map to graduation by conducting audits of student records
- Audit Work Progress Reports on a monthly basis and communicate findings to the principal
Partner Relationships
- Maintain an office space onsite at the detention center Monday through Friday during school hours
- Establish and maintain relationships and communications with Sheriff's Department staff
- Abide by Five Keys and Sheriff's Department policies and procedures
- Ensure that security policies and measures are consistently implemented and adhered to
- Maintain relationships with community organizations to increase the effectiveness of student referrals, e.g. community college, employment, housing, and substance use disorder services
- Provide partners with any requested data and documentation related to student outcomes
Teamwork
- Provide weekly updates to the Principal
- As a central part of the school administration, be available for periodic school-wide tasks such a graduation and event planning, emergency class coverage, and staff training
- Communicate and collaborate with SOS staff and managers
- Attend all meetings and perform all other duties as assigned

- Ability to handle multiple deadlines and tasks simultaneously
EDUCATION AND WORK EXPERIENCE
- Prior experience with school operations required
- B.A. or equivalent work experience required
- Prior experience working with justice-involved individuals preferred
PHYSICAL REQUIREMENTS
- To promote the health and safety of its employees, those we serve and our local communities, Five Keys requires that all employees must be fully vaccinated against COVID-19 and/or adhere to all weekly testing and safety measures. Employees may also request and receive approval for an exemption from this policy. Exemptions are granted to accommodate a medical condition or sincerely held religious belief.
- Must wear provided PPE (Personal Protective Equipment) and adhere to all safety guidelines and requirements, when needed
- Frequent talking and hearing conversations
- Long periods of walking, sitting at a desk and/or computer station
- Lifting items that weigh up to 25 lbs.; reaching, bending, carrying and stooping within the daily routine of tasks and activities
ADDITIONAL REQUIREMENTS
This position is contingent upon:
- Satisfactory results of a Live Scan (criminal background investigation)
- Successfully obtaining jail clearance for positions working in county jails or probation locations
- Submitting proof of clear TB results. Results dated within 60 days prior to hire date are acceptable
WORK ENVIRONMENT
- Moderate to high noise level
- Work environment varies from site to site
- Moderate to extensive degree of physical and emotional stamina
- Some personal safety risk working in underserved communities
- Must be willing and able to work in a correctional facility, travel throughout the area to community sites, and travel state-wide to various locations or meetings as needed
