Job Description Summary

This position serves as the front lines for the Student Life Office and supports the Assistant Dean of Student Life and Title IX and the Department of Student Life through various administrative duties.

Knowledge

Knowledge of service delivery in a college environment. Understanding of student populations prevalent in community colleges. Knowledge of Banner, Miscrosoft Outlook, Microsoft Office Suite, and other database and content management systems.

Skills

Must have strong computer, research, technical, and records management skills. Well developed oral/written communication, organization and administrative skills required. Conflict resolution skills and ability to manage individuals in various states of distress highly desirable.

Abilities

Ability to manage conflict in a calm, productive and professional manner. Excellent customer service orientation. Candidate should have the ability to work in a high volume and dynamic office environment while maintaining a positive and pleasant demeanor.

Must be friendly with a willingness to assist with a diverse range of student, faculty, and staff needs. Must be familiar and comfortable working with individuals from a variety of socio-economic, cultural and ethnic backgrounds. Candidate must have a high degree of personal and professional integrity, respect for privacy and confidentiality, a strong sense of ethics, and a commitment to educating students and diversity.

Essential Functions

Essential Function

Provide direct administrative support to the Department of Student Life and Title IX and the functions/areas under the direction of the Assistant Dean of Student Life and Title IX which includes Student Conduct, Student Activities, Student Government, Title IX, Counselling Services, International Student Services, Disability Resource Center, Veteran’s Services, and other areas as determined. This includes: managing functions of the office(s), answering phones, checking voicemails, scheduling appointments, creating files, making copies, sending faxes, ordering supplies and food, maintaing/organizing office space and classroom space, correspondence with members of the campus community, assisting with events, and maintenance of applicable College budgets (monitoring and tracking, maintaining spreadsheets, Purchasing Card monthly statements and reconcillation, deposits, etc.), notetaking at meetings

Essential Function

Serve as a customer service representative for Student Life and Title IX (including greeting individuals entering the office, receiving paperwork, taking messages, maintaining positive relationships, etc.)

Process approved purchasing and travel for Student Life under the direction of the Assistant Dean of Student Life and Title IX; which may include but not limited to processing Direct Pays, ordering supplies, coordinating travel arrangements, and submitting reimbursements (conference registration, hotel, air, ground transportation, per diem, etc.).

Design and maintenance of an efficient filing and data management system within Student Life, which includes confidential storage and annual review of records in accordance with College policies and industry standards.

Proficiency in Banner, Maxient, OrgSync (OrgExpress) and other systems as needed.

Assist with various confidential administrative functions that includes processing prior/current student background checks, imputing academic misconduct cases into Maxient (student conduct database), providing assistance with incident/investigation record keeping/correspondences/appointments, coordinating the campus Stall Talk publication.
