Enrollment Systems Specialist

Within the Enrollment Services department, this position provides assistance with the maintenance of the college’s Customer Relationship Management (CRM) systems to support College recruitment, marketing IT and retention. This position ensures the consistent delivery of communications to current and potential students using various technology systems to support priorities, improve student service and provide continuous and efficient operations. The position, under supervision, will create custom process flows, report on native analytics and ensure functional leaders within the department have access to the information necessary to make data driven decisions in support of students and team members.

List of Essential Activities

1. Maintains and updates the college’s CRM systems, Ellucian Recruit & Advise and ensures the data is accurately recorded within all required systems; maintains data and prepares reports regarding leads and prospects, applicants and students; and ensures all data/information remains secure and confidential; prepares related activity reports.
2. Creates, analyzes, and maintains accurate reports and queries; assist in the creation of workflows and processes to meet departmental needs and uses this data to make recommendations at regular intervals to increase department productivity and efficiency; performs other database duties as assigned.
3. Assists in the maintenance of the department’s communications calendar to ensure that proactive and intrusive campaigns are deployed; may build, edit or adjust communications and templates as directed by the immediate manager.
4. Uses excellent customer service to communicate with students as necessary to assist with on-boarding
5.. Drafts and prepares professional correspondence, documents, emails and reports.
6. Participates in cross-training for all areas of student and enrollment services including colloquiums, commencement and open houses as directed
7. Works on special projects, as assigned, such as updating web pages, maintenance of augmented intelligence knowledge base, preparing recruitment materials and communications via social media
8. Maintains appropriate competency in computer technology and identifies potential opportunities for advancing online student services
9. Related projects, initiatives and duties as assigned

Required Qualifications

1. Associate’s Degree (ideally in mathematics, technology or computer science), or High School Diploma and an additional one year of related experience.
2. At least three years of technology related experience that involved database and information management and required the ability to create and run statistical reports, assist with the analysis of the data and deploy communication campaigns.
3. Strong work ethic and the ability to work independently as a self-starter with limited supervision and effectively organize and manage workload within established deadlines.
4. Ability to serve as team/project leader and assist with the training of others as necessary.
5. Demonstrate proficiency in the use of Microsoft Office Suite that involved the creation of professional correspondence, documents and reports.

Preferred Qualifications

1. One or more years of recent experience working with student information system such as Ellucian’s Colleague
2. Prior experience with a CRM (such as: Recruit, Advise, Salesforce or a similar platform).
3. Prior experience with development and implementation of work flows and processes.

$38,745- $51,660/ year, depending on experience
