Job Description Summary

Ensure smooth running of the Life and Natural Sciences Department; take calls, send students to appropriate help resources or instructors etc.
Perform duties assigned by the Chair which are listed in this position description. Demonstrate a work ethic by assisting the chair in the smooth functioning as well as growth of the department.


Knows College Policy and Procedures. Knows Microsoft Office Suite. Knows Banner. Knows telephone etiquette. Knows office supply ordering process online services.


Possesses accurate typing skills. Demonstrate successful proof reading skills. Possesses file organization skills. Possesses clear and accurate communication skills. Prepare presentations that are organized, accurate and colorful. Conduct internet searches.


Demonstrate problem solving skills. Able to keep confidential information private. Plan, organize, implement and evaluate tasks. Able to work under pressure. Able to adhere to deadlines.

Essential Functions

Essential Function

SUPPORTS CURRICULUM AND PROGRAM DELIVERY 1. Generates book list for each semester (Toledo and Findlay) and orders examination copies for the faculty. 2. Maintains student learning assessment files. 3. Maintains syllabus and course outline files.

Essential Function

OFFICE ADMINISTRATION 1. Serves as departmental receptionist including answering phones, taking messages and greeting visitors. 2. Prepares all departmental correspondence as requested. This includes confidential memos, letters, minutes, and Board Reports. 3. Generates purchase orders and maintains computerized data base for purchase orders. 4. Monitors and maintains supplies. Orders needed supplies regularly. 5. Assist with class cancellation consistent with department procedures including posting notifications and assisting the Chair in contacting substitutes and distributing materials to substitutes coving the course. 6. Requests, organizes and distributes department employee schedules and syllabi consistent with departmental procedures. 7. Utilizes Banner to facilitate office work at the direction of the chair. 8. Prepares, maintains, and distributes staff list consistent with College procedures.

Essential Function

SUPPORTS FACULTY AND STAFF 1. Maintains files of materials for adjunct faculty 2. Sets up appointments with new adjunct and full time faculty for orientation. 3. Assists in maintaining the departmental Blackboard and web site. 4. Schedules department meetings, room location and necessary materials for the meeting at the direction of the chair. 5. Takes minutes at department meetings, maintains meeting records, distributes minutes in accordance with College procedures.

Essential Function

SUPPORTS THE DEPARTMENT ADMINISTRATION 1. Schedules interview appointments for various positions in the department. 2. Completes forms for department administrators 3. Makes travel arrangements for department personnel 4. Collects and distributes student evaluations of faculty to appropriate personnel 5. Prepares ERs at the direction of the department chair.
