Westchester Community College was founded in 1946 as the New York State Institute of Applied Arts and Sciences in White Plains. In 1957, the County of Westchester bought the 360-acre John Hartford estate in Valhalla and designated 218 acres for the community college. Job Description:

The P/T Secretary I will provide information regarding established policies, procedures and practices to employees, vendors, and students, answering questions in person, over the phone, via e-mail, etc.  They will compose, prepare and enter important data and confidential correspondence, reports, charts, contracts, etc., such as budget documents, employee personnel & payroll records, requisitions, invoices, etc. using various automated systems and applications. The incumbent answers telephones, responds to requests for information and directs inquiries to the appropriate staff member.   They will also open & screen mail and emails independently, routing the same with background material, as necessary.  Additional responsibilities include processing payments for purchase orders and payment vouchers; contacting vendors regarding invoice submissions; and maintaining departmental files, records, mailing lists and other source documents in accordance with departmental procedures.  The P/T Secretary I may perform internal administrative support tasks such as departmental budget preparation, and the requisitioning of office supplies.  All of these responsibilities are performed both in person and remotely.


Requirements:

REQUIRED QUALIFICATIONS:  The successful candidate must possess a minimum of a high school or equivalency diploma and four years of experience where the primary function of the position was the performance of clerical functions, two years of which involved the use of word processing and other automated systems.     

PREFERRED QUALIFICATIONS:  Proficiency in Microsoft Word and Excel strongly preferred.

 


Additional Information:

WORK SCHEDULE:  This is an hourly position with a work schedule of up to 28 hours per week.

HOURLY RATE OF PAY: $14.75 per hour. No benefits.
