Under limited supervision, the executive assistant provides administrative support services to the Vice President of Information Technology Services. This position also provides limited administrative support to Information Technology Services, directly reporting to the Vice President of Information Technology Services. The position provides coordination of several diverse operations to ensure the Vice President’s various areas of responsibility function in an organized, confidential, and efficient manner. Independent decision-making skills are utilized to ensure the smooth operation of the office, as are the ability to understand moderately complex data sets and the ability to create reports via business intelligence tools.

Under limited supervision, this position serves as initial contact and secondary ombudsperson for the Executive Suite

Required Qualifications
  • Customer service skills sufficient to perform responsibilities described above with courtesy, respect, and interest in positive problem solving manner. Answer the phone, refer callers, and greet visitors with courtesy and respect. Provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.
  • English including reading, writing, and speaking sufficient to communicate with a wide range of internal and external customers, interpret and respond to a variety of materials, and follow detailed and complex instructions.
  • Word processing sufficient to use software to create, format, edit, print, and save a variety of documents and spreadsheets. Experience in a position which required the development of administrative and programmatic procedures.
  • Demonstrated knowledge of the college’s mission, priorities, organizational structure, functions and interrelation of departments to develop, modify, and evaluate/improve administrative and program procedures.
  • Lead work sufficient to manage, organize and direct tasks and projects, follow up with appropriate administrators and staff, lead meetings, and perform all responsibilities of the position.
  • Ability to organize time and diverse tasks, set and meet deadlines.
  • Demonstrated ability to effectively communicate with tact and diplomacy in difficult situations; maintain confidentiality in all relationships; interact with the public and establish good working relationships with faculty, staff and students; remain calm under stress or verbal attack.
  • Ability to interpret policies and procedures to quickly assess a problem and make independent decisions.
  • Math aptitude sufficient to calculate expenditures, resolve discrepancies, prepare and monitor budgets.
Preferred Qualifications
  • Experience in senior level executive support sufficient to represent the Vice President in various situations in a confident and effective manner.
  • Knowledge of Minnesota State and MCTC rules and policies, system and fiscal regulations and procedures.
  • Demonstrates an effort to improve cultural competence and actively take steps to include diversity training in professional development.
  • Knowledge of priorities and objectives of the college to give accurate direction in issue resolution.
  • Knowledge of standard statistical techniques and research reporting sufficient to research, access information, and summarize and manipulate data and information in an organized format.
  • Experience in recognizing potential problems and recommending actions and solutions.
  • Ability to maintain a professional decorum reflective of a team approach to college and student success.

Salary:
Placement within the salary range for the Office and Administrative Specialist Senior classification is determined on the basis of relevant experience and in accordance with the 2019 – 2021 Commissioner’s Plan for the State of Minnesota.
