The Payroll Specialist is to assist with payroll processing, data entry, preparation, and reporting. The Payroll Specialist maintains the necessary documents, secures required approvals, and collects necessary payroll forms. The Payroll Specialist must constantly use critical thinking skills to identify errors or omissions that may affect the accuracy and completeness of the payroll system. The Payroll Specialist must exhibit the highest professional standards for integrity, confidentiality, and competence and must be familiar with all policies, procedures, and legal requirements.

ESSENTIAL FUNCTIONS
At a minimum, the essential functions of the Payroll Specialist shall include:
  • Assist Payroll Manager with monthly payroll duties.

  • Manage the collection of full-time employees’ monthly time sheets, audit them against leave reports, and calculate overtime/comp time earnings.

  • Manage the collection of monthly part-time hourly time sheets and audit the total number of hours worked.

  • Perform monthly payroll processing to include entering hours worked for payroll for all hourly employees.

  • Make changes to employee deduction records as needed each month and reconciles the deductions for payroll processing and payroll payables.

  • Enter direct deposit authorizations and make changes.

  • Complete verifications of employment when wage information is needed.

  • Complete department of labor unemployment benefit payment audit forms.

  • Process and submit monthly payroll deductions including, but not limited to Federal Taxes, FICA, Medicare, State Taxes, Teacher’s Retirement Contributions, PEEHIP, voluntary deductions, garnishments, etc. in a timely manner.

  • Submit payment information to accounts payable regarding the payroll payables for which checks must be cut.

  • Assist Payroll Manager with monthly, quarterly, and annual reporting requirements.

  • Develop and maintain cooperative working relations with other employees.

  • Assist employees with questions regarding benefits, deductions and leave.

  • Stay abreast of changes in tax laws and regulations that apply to payroll.

  • Becoming familiar with and adhering to all College policies and procedures.

  • Becoming thoroughly familiar with all pertinent state and national policies and complying with said policies.

  • Serving on and providing information to College committees as needed.

  • Maintaining a highly professional attitude and demeanor at all times.

  • Exhibiting appropriate and satisfactory leadership within the College.

  • Complying with ACCS and College policies, as well as state and federal laws.

  • Providing responsible, adequate, and satisfactory leadership on the campus and within the College.

  • Communicating positively and professionally in all aspects of the position.

  • Ensuring the positive promotion of the College and integration of all campuses within the College.

  • Perform other duties as assigned.

  • Becoming familiar with and adhering to all College policies and procedures.

  • Becoming thoroughly familiar with all pertinent state and national policies and complying with said policies.

  • Serving on and providing information to College committees as needed.

  • Maintaining a highly professional attitude and demeanor at all times.

  • Exhibiting appropriate and satisfactory leadership within the College.

  • Complying with ACCS and College policies, as well as state and federal laws.

  • Providing responsible, adequate, and satisfactory leadership on the campus and within the College.

  • Communicating positively and professionally in all aspects of the position.

  • Ensuring the positive promotion of the College and integration of all campuses within the College.



  • SALARY: Salary level will be determined by educational attainment in accordance with the Alabama Community College System Salary Schedule E3-05.

Qualifications:

REQUIRED QUALIFICATIONS:
Interviews can only be extended to applicants who meet the minimum qualifications and who complete the application process. The following are the minimum required qualifications for this position:
  • Three years’ experience working in payroll processing/accounting

  • Associates Degree in Business, Accounting or a related field

  • Understanding the need for confidentiality

    Preferred:

  • Bachelor’s Degree in Business, Accounting or related field
  • is preferred.

  • Banner/Ellucian experience

    INTERVIEW PROCESS:
    The President will appoint a Screening and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, a screening committee will select the applicants to be interviewed. All initial interviews will be conducted in person and applicants must travel at their own expense.
