Job Title- ADMINISTRATIVE ASSISTANT II-AVP OF ORGANIZATIONAL LEARNING & ENGAGEMENT
Position Status- Full Time
Classification Title- Grade 104
Work Location- Main Campus-3600 N. Garfield, Midland, TX
Job Summary- This position is responsible for managing the daily operations of the Division office in support of the AVP.
Required Qualifications
- Associate Degree or equivalent (60 college credit hours); or High School diploma or equivalent and two years of clerical and general office experience
- Demonstrated proficiency with Microsoft Office: Word, Excel, and PowerPoint, and Adobe Acrobat
- Knowledge of standard office equipment, business practices, and basic accounting skills
- Excellent communication skills, both written and verbal
- Strong customer service skills
- Ability to work independently and collaboratively as part of a team
- Ability to manage projects effectively
- Ability to schedule activities, and meetings, routinely gather, collate, and/or classify data
- Must possess a valid Texas driver’s license, good driving record, and be insurable on Midland College’s insurance policy

Essential Functions
- Provide administrative support for the AVP of Organizational Learning & Engagement and the division office.
- Support the administrative needs of the College & Career Connections program
- Provide administrative support for the other division departments as needed
- Provide administrative support for special projects within the division
- Assist with budget management for division office and division departments
- Serve as the point of contact for division office and division department-related requisitions, purchase orders, and ongoing subscriptions
- Record and reconcile budget balances for the division office and division departments
- Process, develop, and/or maintain electronic files, division correspondence, reports, and spreadsheets
- Maintain inventory of equipment and supplies for the division office and division departments
- Submit service requests for facilities and technology needs
- Coordinate travel arrangements as required for division staff (hotel, air, car rental, etc.)
- Submit payroll and leave forms to Human Resources for the division office, and division departments as needed
- Perform general clerical duties, including answering phones, taking messages, and greeting visitors
- Schedule and set up meetings for the AVP and division department staff, as needed
- Other duties as assigned
Physical Demands
- Must be able to remain in a stationary position 50% of the time
- Must be able to sit or stand for long periods of time
- The person in this position needs to move to other locations on campus occasionally
- Repetitive use of a keyboard at a workstation
- Use of manual dexterity
- The person in this position frequently communicates with others; must be able to exchange accurate information
- Frequently moves equipment or paperwork weighing up to 25 pounds
- Duties indoors and some outdoors
Security Sensitivity- All Midland College positions are security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. An employment offer is contingent on completion of a satisfactory criminal background investigation.
Min Salary- $21.27 per hour
Max Salary- $21.59 per hour
