This position will work a hybrid schedule which includes a combination of working both onsite on Campus and remote.

The Education Programs Coordinator provides administrative support to all Department of Neurological Surgery's Education Programs, including the residency program, medical student clerkships, fellowship, Grand Rounds and all other departmental educational initiatives. The Education Programs Coordinator will serve three key roles: 1) Medical student clerkship coordinator, 2) Program coordinator for the CAST-accredited Neuro-endovascular Fellowship Training Program; and 3) Coordinator providing administrative support for the other neurological surgery education programs of the department, including the residency program, observer program, and weekly educational series. As the medical student clerkship coordinator, this individual will coordinate the operations of the medical student clerkships, SURG 401, SURG 410, and SURG 454 sub-internship. Responsibilities include planning and implementation of clerkship teaching and learning activities with a large degree of independence, collaborating with the clerkship and sub-internship faculty directors and School of Medicine staff. As the Fellowship Coordinator, this individual will be responsible for coordinating all aspects of the neuro-endovascular fellowship program and helping to ensure policies and accreditation standards are met. Responsibilities include managing the annual recruitment process, completing all onboarding requirements for fellows, and completing the annual report. As a support person for the Department's other education programs, this individual will compose correspondence/materials and distribute for program courses, social events, meetings and orientations and maintain academic files, procedure logs, CVs, work hours tracking, and credentialing. Responsibilities include processing education program expense reports, payment authorizations, purchase orders, and reimbursements using online systems in an accurate and timely manner and collaborating with the department fiscal manager to ensure adherence to finance policies; coordinating and executing projects, independently composing correspondence, managing complex appointment calendar and travel arrangements, coordinating meetings and special events, and serving as liaison with constituents on behalf of departmental education leadership. Assists with administrative aspects of the residency program recruitment and coordination processes, including but not limited to application review, interview scheduling, grand rounds and didactic planning, special event development and set-up, and resident certifications and files. For the Observer Program, this individual will work closely with the Health system Observer Program to ensure that undergraduate students and other health professions trainees have the ability to gain exposure to the field of neurosurgery. Performs other administrative support tasks and special projects as required.
The Education Programs Coordinator ensures that all departmental educational activities are integrated with the overall goals and mission of the Department of Neurological Surgery, the UCSD School of Medicine, and UCSD at large. The Education Programs Coordinator must have the ability to independently analyze, organize and prioritize daily activities as well as review, evaluate and rank all requests and communication relating to the Department's Education Programs. Must be able to think critically, have a strong attention to detail, adapt to changing priorities, facilitate accuracy and efficiency, and maintain a high degree of confidentiality.
MINIMUM QUALIFICATIONSSix (6) years of related experience, education/training, OR a Bachelor's degree in related area plus two (2) years of related experience/training in education, academic medical center, or equivalent.
Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
Communication skills; includes verbal, written, and active listening. Service-oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars/schedules requires extremely well organized and detail-oriented precision.
Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
Ability to exercise judgment, tact, and firmness in interaction with faculty, students, alumni, staff, community providers and others. Ability to make appropriate decisions and maintain strict confidentiality.
Experience and knowledge of faculty and residency recruitment process.
Experience working as part of a team including faculty, residents, NPs, PAs and administrative staff.
Occasional 6:30am start time, evenings and/or weekends may be required.
Overtime may be required.
Must be willing and able to travel between the various department locations.
Pay Transparency Act
Annual Full Pay Range: $63,099 - $91,914 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $30.22 - $44.02
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
