Administrative Coordinator
Job Description
Position Summary: Expected to handle a wide range of administrative support related tasks and able to work independently with little or no supervision. Responsible for supervision of other administrative clerical support staff. Well organized, flexible and enjoys the administrative challenges of supporting the College of Nursing. Performs other duties as assigned by the Dean.

- Screens incoming calls/mail/email correspondence and responds independently when possible.
- Coordinates the workload and acts as gatekeeper for College of Nursing matters; Delegates appropriately to subordinate administrative clerical support staff. Maintains a complete filing system for documents in the College of Nursing; Maintains confidentiality of all College of Nursing materials; Arranges travel itinerary and reservations for the Dean, consultants, etc.; Maintains a tickler file for documents that must be reviewed periodically; Keeps a running tally of expenditures in selected budget areas to prevent cost over runs; Submits requisitions for purchase orders for the graduate program and maintains College of Nursing and logs receipt of orders; oversees undergraduate requisitions; Serves as liaison to the Louisiana State Board of Nursing for administrative/clerical Compiles reports for various agencies and organizations (e.g. Accreditation Commission for Education in Nursing (ACEN) and Louisiana State Board of Nursing (LSBN) for the graduate nursing programs; Prepares affiliation contracts; Maintains a system for validating faculty licensure renewal; Takes minutes for College of Nursing faculty organization meetings; Takes minutes for and is a member of the College of Nursing Graduate Admission, Progression, and Retention Committee; Screens students' folders for completeness; Maintain files of active and inactive students; Mails materials to inquirers requesting information; Composes, compiles, proofreads and edits all outgoing correspondence and reports at the discretion of the Chair; Maintains confidentiality of all College materials; Supervises subordinate level administrative clerical support staff within the guidelines of Human Resources; Adheres to the Dillard University Employee Handbook.
Qualifications

- Demonstrates a high level of competence in administrative, communication and problem-solving skills. Word processing accuracy of 60 words per minute and computer literate. Must be adaptable and quick to learn new office technologies as well as manage communication effectively amongst diverse groups of people within the university. Minimum a bachelor’s degree in business or business related field. Preference post baccalaureate education and a minimum of two years of experience as an administrative personnel.
Work Conditions
May require long hours sitting in front of a computer, walking across campus, and/or bending, stooping and lifting up to 20lbs.

The scope of the job frequently requires working in the evenings and College of Nursing and University Commencement activities.
