Job Description

The Assistant Director provides assistance for functions related to data integrity, maintenance, and systems support, and helps develop, maintain and enhance the operations of Admissions systems and related application systems. This position is responsible for developing and maintaining system data integrations ensuring synchronization between various admissions platforms and databases. Works closely with the Admissions team to analyze data, develop processes and workflows for continuous improvement to admissions lifecycles, activities and processes at the University. Uses tools to acquire, manage, manipulate and create reports required to assist and inform operations and the Admissions leadership team.

  1. Accountable for systems, data and business analysis, in planning, implementation and operation of Admissions systems and related application systems. This includes evaluation and problem solving of issues with systems as they relate to the integration and management of admissions information.
  2. Oversees the supervision of subordinate Admissions Operations professional and classified staff including managing schedules, work assignments, and approving time and attendance. Evaluates, develops, and provides feed-back and leadership to those reports.
  3. Charged with the design, implementation, integration, and maintenance of Enrollment Management software systems, including business design and requirements specifications and testing and seamless integration of other administrative software systems, including CRM, data warehouse, and document imaging.
  4. Develop, implement, and generate routine and ad hoc reports for business intelligence and operations; create reports to capture and review duplicate data, exceptions, or other errors, and provide ongoing appropriate data correction processes.
  5. Leverages Informatica Cloud for efficient Extract, Transform, Load (ETL) tasks and process automation, and other tools (where applicable) for data transfer via secure file transfer protocol (SFTP).
  6. Monitor and troubleshoot workflow processes, bi-lateral system communication processes, and error logs.
  7. Manages student system imports through preparation and maintenance to various software systems (such as Salesforce and PeopleSoft).
  8. Performs and participates in systems related projects and enhancements to include writing functional specifications, communicating with information technology staff, testing, and developing communication plans.
  9. Maintain and troubleshoot data crosswalks among integrated systems.
  10. Analyzes processes and trains departmental employees working within the admissions systems to ensure data integrity through analyzing cases and working creatively with database and application software structures.
  11. Aids in the identification and resolution of business process and data integrity issues, including use of tools, such as DemandTools, for data cleansing, data validation, and general quality assurance.
  12. Assists constituents in understanding admissions system functions and processes and guides a continuous improvement model and business process design/redesign.
  13. Assists and serves as security access administrator for designated admissions systems.
  14. Creates and maintains business process documentation.
  15. Maintain a current working knowledge of methods and activities relevant to college admissions processing and stay abreast of best practices.
  16. Interact with a variety of constituents in disseminating admissions information and resolving issues. Follows-up and takes appropriate action.
  17. Serves as a backup for Admissions Operations team members where necessary.
  18. Champions and demonstrates client-centered/customer-centric work ethic and activities.
  19. Serves on Committees as assigned by the President; Vice President of Student Success; Associate Vice President of Enrollment Management, and/or designee.
  20. Demonstrates sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation, and socioeconomic backgrounds.
  21. Demonstrates sensitivity to students with a diversity of learning styles.
  22. Serves as a role model and mentor for students as appropriate.
  23. Perform other job-related duties as assigned.

Required Qualifications:

  1. Associate's degree in Information Systems, Computer Science or related field AND five years of systems/programming experience; OR, Bachelor's degree in Information Systems, Computer Science or related field AND three years of systems/programming experience.
  2. Strong and demonstrated knowledge of system specification standards and applications programming in a higher education admissions or enrollment environment.
  3. Significant experience and proficiency with virtual database management, CRM, and document imaging (PeopleSoft Campus Solutions, Salesforce, and Hyland OnBase preferred).
  4. Proficiency in data integration tools and external file mapping, layouts, and loads (ETL, extract, transform and load).
  5. Strong organizational skills. Ability to manage multiple projects simultaneously.

Preferred Qualifications:

  1. Experience with managing continuous improvement and a demonstrated growth mindset with the ability to maintain the highest standards of stewardship.
  2. Expertise in investigating and analyzing broad administrative issues, with the ability to anticipate and address problems proactively.
  3. Excellent oral and written communication skills, with the ability to interpret, organize, and present complex information clearly and proven capability to train others on new skills and procedures, and effectively communicate technical concepts to non-technical audiences. 
  4. Strong systems background as a high-end user or developer, with the ability to analyze data requirements, research data availability and make informed recommendations using knowledge of the principles, practices and procedures of higher education and data integration.
  5. Ability to quickly learn new software features and modules necessary to master all facets of this position, with the ability to work independently while using sound judgement in accordance with university, federal and state regulations.
  6. Experience in managing numerous demands, researching and developing policies and providing leadership and training.
  7. Demonstrated ability to work effectively in a team, fostering a collaborative environment and maintaining harmonious relationships, with a commitment to working in a multicultural, multiracial environment with persons of diverse backgrounds.

Working Conditions:

This is a primarily on-site, in-person position in Salem, MA with on-campus, in-person responsibilities and occasional evening and weekend work for admissions events, emergencies, and project deadlines.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
