PT - Administrative Assistant, Learning Services
Job Description
Salary:
$15.00 per hour
Summary of Function:
This position provides clerical/administrative support for a specific department and serves
as the point of contact. This position is the second level in the Administrative Assistant Family.
Typical Duties:
- Serves Students. Provides daily clerical/administrative support to faculty, staff, and students in the assigned department/location. Oversees the front desk/area by answering phones and responding to inquiries in person, emails, and other forms of communication. Provides coverage for others while out of the office.
- Directs students to various locations on campus. Provides detailed information to students and may assist with admissions, registration, financial aid, testing, and cashiering. Works with student schedules and requests and follow-ups with students. Support Admin Assistant IV with reports of Faculty Loads.
- Calendar: schedules all appointments, calendaring for supervisor. Reminds supervisor of meeting times. Sets up appointments for other staff in the department. Cancels and resets appointments.
- Purchasing: Orders supplies for office and staff. May create requisitions, approve invoices, arrange travel and process expenses.
- Takes notes at meetings, department, division, committee, councils, or external meetings. Sorts mail and distributes mail daily. Runs report. Format PowerPoint presentations with content provided by the supervisor.
- Events: request facilities, set up an event, assist with creating marketing materials.
- Support and participate in strategic planning initiatives, and perform other duties as assigned.
Required Qualifications:
- Office Management Certification AND one year of clerical experience
OR High School Diploma or equivalent AND two years of clerical experience
Additional Eligibility Requirements:
- May require a valid Driver’s License
Classification:
- Non-Exempt
Position Type & Work Schedule:
- Part-time
- Up to 19 hours per week
- 7:00 am-12:00 pm OR 12:00 pm-5:00 pm
- Work flexible schedule to meet the program, department, and/or institutional needs, which may include Fridays, nights, and/or weekends
Knowledge, Skills, and Abilities:
- Knowledge of and ability to follow college policies and procedures
- Knowledge of or ability to maintain organizational structure, workflow and operating procedures
- Knowledge of and basic understanding of clerical procedures and systems such as recordkeeping and filing
- Knowledge and basic understanding of office equipment
- Knowledge and basic understanding of clerical procedures and systems such as recordkeeping and filing
- Skill in and intermediate proficiency in current technologies and word processing, database, presentation, and
spreadsheet software, specifically Microsoft Office applications, Windows - Skill in managing one’s own time
- Ability to complete all departmental and/or institutional mandatory training or development
- Ability to demonstrate good verbal and written communication skills
- Ability to demonstrate good interpersonal and customer service skills
- Ability to demonstrate good organizational skills and attention to detail
- Ability to work independently and reliably
- Ability to demonstrate flexibility and adaptability in various situations and when interacting with many different
personalities - Ability to organize and prioritize tasks including delegation of tasks when appropriate
- Ability to maintain confidentiality of sensitive information
- Ability to establish and maintain effective working relationships with other department staff, faculty, students and the public
Work Environment:
- Inside office environment with normal noise and lighting levels
- Work is performed in an open office environment with staff contact and interruptions
Physical Demands:
- Prolonged periods sitting at a desk and working on a computer
- Prolonged periods of standing and/or walking
- May lift, carry, push, and/or pull, at times a minimum of 20 pounds
- Occasionally stoop, bend, kneel, crouch, reach, and/or twist
Travel:
- May be required to travel to other locations using various modes of private, commercial, or fleet transportation,
and as needed to support program, department and institutional needs
