Academic Program Coordinator
Job Description
Osher Life Long Learning at Johns Hopkins University (JHU) provides opportunities for adult learners to pursue education primarily for personal enrichment through a wide variety of classes, workshops, lecture series, seminars, trips, and special programs. Osher is seeking an Academic Program Coordinator to provide coordination, administrative and logistical support to Osher members and staff at various locations in and around Montgomery County, Maryland. This position will require travel to multiple locations.
Specific Duties & Responsibilities
Program Support (90%)
- Provide coverage at offsite locations up to two days per week.
- Organize and provide in class course support to faculty using classroom technology, Internet resources and standard AV materials.
- Coordinate online support for faculty using Zoom technology including organization of faculty accounts with IT, hosting classes, creating links and distributing them to registered members, and monitoring all zoom class sessions.
- Unsupervised proficient manipulation of Aceware program database for course and faculty information entry, membership code updates, processing member and prospective registrations, report generation, event and enrollment tracking.
- Assemble, manipulate, and/or format emails, data, reports, documents and other types of communication.
- Prepare and make deposits.
- Compile in instructor payroll lists each semester, run contracts and coordinate payments with faculty and shared services.
- Pay routine invoices in SAP.
- Independently create, edit and disseminate faculty course and program materials including the catalog, journal and newsletter distributing them to the editor, designer and printer.
- Monitor the Osher Inbox and respond to prospective member inquiries via telephone and email.
- Prepare and mail prospective member packets.
- Create semester Reading List and Information Guide.
- Prepare classrooms for courses, including distributing box materials and coordinating audio-visual needs.
- Maintain and order an inventory of office supplies using a PCard.
- Proofread and edit program materials and newsletters.
- Coordinate, plan and attend special events and trips.
- Coordinate office services such as purchasing, records control, payment allocation and other administrative activities.
- Manage marketing support and research using social media sites.
- Monitor online fax system.
Administrative Duties (10%)
- Serve as on-site backup coordinator for the Program Administrative Supervisor.
- Provide occasional assistance and support to the Program Director.
- Other duties as assigned.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years administrative/academic related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Two-year degree is preferred.
- Prefer experience in an academic working environment.
- Experience using Aceware Database, JHU SAP and preferred.
- Experience working with senior citizens and lifelong learning programming preferred.
Special Knowledge, Skills, & Abilities
- Excellent communication and interpersonal skills and ability to work collaboratively and effectively with diverse constituents.
- Must be detail oriented.
- Intermediate MS Office Suite skills.
- Ability to use and troubleshoot various types of AV equipment.
- Competency in using various software applications such as spreadsheets, relational databases, statistical packages, graphics packages and electronic calendaring.
- Excellent organization, planning and time management skills.
- Ability to analyze and solve problems quickly, creatively and sometimes during unpredictable circumstances.
- Demonstrated professionalism and patience regarding the needs of adult learners, especially older adults.
- Ability to work independently with limited direct supervision and as part of a team.
Physical Requirements for the job
- Requires the ability to lift and carry weights up to 30 pounds.

Role/Level/Range: ATO 37.5/02/OE
Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate with experience)
Employee group: Full Time
Schedule: Monday-Friday, 8:30am-5pm
Exempt Status: Non-Exempt
