American Specialty Health Incorporated is seeking a Leave of Absence Coordinator to join our Human Resources (HRS) department. This position will help plan, track, and handle employee leaves, including administration, compliance with federal and state leave laws, claims management, return-to-work support, and reporting.

Hourly Salary Range
American Specialty Health complies with state and federal wage and hour laws and compensation depends upon candidate's qualifications, education, skill set, years of experience, and internal equity. $17.84 to $20.00 Hourly Wage Range.

Remote Worker Considerations

Candidates who are selected for this position may be trained virtually or onsite and must have the capability to work from home (WFH) in a designated work area with company-provided technology equipment.This remote/WFH position requires you have a stable connection to your Internet Service Provider with the ability to participate by video in online meetings over a reliable and consistent network (minimum internet download of 50 Mbps and 50 Mbps upload speed). This position will require occasional onsite office work. ASH requires all onsite employees and employees who travel for their position to review and acknowledge ASH's Communicable Disease and Pandemic Policy.

Responsibilities

  • Provides administrative support of ADA, Leave of Absence (LOA) and Workers Compensation Processes:
  • Reads and responds to employees' questions and requests via the LOA email inbox throughout the day. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Supports the FMLA leave administration process from the employee's initial notice of the need for leave to the return to work. This includes collecting details about the leave request, referring employees to third party vendor for paperwork and documentation completion, and accounting for intermittent and reduced scheduled leave use by updating timesheets.
  • Works with the LOA Specialist on maintaining reasonable communication with employees on leave to enable a smooth and timely return to work, relays communication between employees and their managers during leave within reason.
  • Provides support and responds to Employee Relations team on employees' current and historical leave and accommodation requests including approval, denials and case closures.
  • Assists in the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s) which includes updating internal systems and sending timely notifications for system access prior to return.
  • Facilitates other leave requests, which may include accommodation requests under the ADA and helps to schedule interactive process conversations with appropriate HR staff.
  • Maintains complete and accurate records of leave and accommodation requests.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Coordinate Leave of Absence (FML, PFL, disability, and ADA) requests and liaise with third-party vendor on the administration.
  • Communicates with employees on leave eligibility, including how PTO, FMLA, STD, and Paid Family leave work together.
  • Manages employees' LOA file: Drafts, edits, and sends letters, notices, and other paperwork to employees on a leave of absence. Monitors employee status and communication during LOA. Preserves confidentiality of employee medical documentation and files.
  • Provides support to the administration of companies Workers Compensation and Ergonomics programs.
  • Provides information to employees and managers regarding non-standard ergonomics requests.
  • Processes Workers Compensation notifications from third party vendor. Communicates updates with the department as needed.
  • Maintains internal tracking system for all Workers Compensation claims and Ergonomics requests.

Qualifications

  • Bachelor's degree or equivalent experience. If equivalent experience, high school diploma required.
  • Minimum 3 years of progressive leave of absence, ADA and workers' compensation experience.
  • Strong working knowledge of FMLA, ADA, CFRA, PDL, and state specific leave and disability requirements.
  • Proficient in Microsoft Office and experience working in a HRIS and timekeeping system. UltiPro a plus.
  • Professional Certification in Human Resources or Benefits preferred.

Physical Requirements

Ability to speak, see and hear other personnel and/or objects. Ability to communicate both in verbal and written form. Ability to travel within the facility. Capable of using a telephone and computer keyboard. Ability to lift up to 10 lbs.

Office and/or Work-from-home (WFH) environment.
