HS diploma and seven years of related experience involving progressive responsible duties requiring discretion and independent judgment, or an Associate’s/bachelor’s degree and a combination of experience, specialized training and higher education equal to seven years.

Technical aptitude, superior attention to detail and accuracy while working in in a fast-paced, multi-tasking environment. Strong organizational, analytical, and problem-solving skills. Excellent written and oral communication skills. Ability to establish and maintain effective working relationships with faculty, staff, students, and the general public. Comfortable working equally independently and as a collaborative team. Comprehensive computer skills including proficiency with Outlook, Excel, PowerPoint, SharePoint, OneDrive, and Word, and also with database management and software applications as required by the department.

Additional Preferred Qualifications

Bachelor’s degree. Experience working with faculty and graduate students in an administrative setting. Knowledge of academic procedures and university management programs (Webi, Banner, Target X, Salesforce, Qualtics). Knowledge of promotion and tenure process

Duty/Responsibility

Graduate Admissions
  • Serve as primary contact in assisting both current and prospective students with general inquiries regarding graduate program and admission process, and refer students to the Department Graduate Program Coordinator for specific questions
  • Direct prospective applicants to apply using Graduate School online application
  • Direct prospective applicants to appropriate departmental representatives (e.g., Graduate Coordinator, Prospective Faculty Advisors) Current applicants:
  • Track application status—Process, organize and maintain graduate applications
  • Create and maintain statistical/progress reports of admissions data
  • Responsible for coordinating application review
  • Administrative support for Graduate admissions including communicate with prospective students about application requirements, process, organize and maintain graduate applications using TargetX and Salesforce, work closely with Graduate Admissions committee to track admissions and inform applicants of decisions, coordinate application review, evaluate waiver requests within faculty approved parameters. Close out applications when admissions is complete
  • Correspond with applicants in regard to applicants’ admission, funding, and other related questions.
  • Liaise with the Graduate School to make sure that the Graduate School has communicated as necessary with prospective students

Duty/Responsibility

Graduate Program Support
  • Serve as the primary contact for the graduate program for the COLA and Graduate Dean’s Offices, the Registrar’s Office, and current and prospective students
  • Assist in providing information to new students about deadlines, orientations, funding information, program specific information (e.g., required courses etc.)
  • Process GA assignments
  • Attend graduate student department orientation
  • Keep track of graduate student progress, update students’ files with grade reports, progress reports, and all other relevant material
  • Update graduate catalog in courseleaf
  • Update graduate program website including keeping Ph.D. alumni page up-to-date
  • Update graduate student handbook
  • Manage and maintain up-to-date graduate student records
  • Administer graduate student oral exams/report committee memberships, schedule orals, and report results to the Graduate School, schedule dissertation and thesis defenses
  • Prepare graduation certifications
  • Send regular communication to graduate students about special events, academic deadlines and requirements, etc.
  • Assist in coordinating processes related to petitions concerning exception to policy, leave of absence, withdrawals, readmission, etc.
  • Administer and process incoming graduate students (I-9, W-4, International F-1)
  • Hourly payroll supervisor for graduate students
  • Serve as liaison with College Dean’s Office, Graduate School, Registrar’s Office, and other University organizations on administrative matters related to department graduate students.

Duty/Responsibility

Administrative Management
  • Advertise department events including ensuring they are submitted to the University calendar.
  • Facilitate Colloquium logistics and announcements.
  • Consult with Chair about assignments of faculty offices. Coordinate and update office assignments for faculty, lecturers, graduate students and per-coursers
  • Manage data and prepare reports on all aspects of the department
  • Assists with all aspects of tenure track searches and hires including planning campus visit, organizing interview schedules and working closely with chair of the search committee
  • Responsible for the review of all course evaluations and ensure they are accurate
  • Arrange for faculty and special guest travels: assist faculty with travel plans and make arrangements such as booking hotel rooms for visiting speakers.
  • Submit all service requests (facilities, telecom, etc.) on behalf of the department.
  • Manage all administrative aspects of the undergraduate internship program including attending informational meetings for interested students. Work closely with the department’s internship coordinator.

Duty/Responsibility

Faculty Support
  • Coordinate the completion of background checks and forms such as I-9 and W-4, submit IT requests for new hire and provides all needed administrative support for onboarding new faculty
  • Provide Promotion and Tenure support: assist the P&T committee with collection of all necessary materials including teacher evaluation data, annual reports, faculty reviews, CV’s, and publications.
  • Submit for teaching evaluations through DIG.
  • Take minutes at faculty meetings

Duty/Responsibility

Budgeting and Financial Management
  • Carries out fiscal responsibilities, including purchases, monitoring budget and expenditures.
  • Work with the Chair to plan department budget, manage all financial aspects of the department (including travel reimbursements, events/colloquiums)
  • Prepare faculty reimbursements: collect receipts and complete necessary forms for faculty reimbursements.
  • Serve as P-card coordinator
