We are seeking a Construction Administrator that will assist in Scheduling, FDC Procurement, Estimating, Change Order Processing, Construction Close Out and Small Request work orders. We are looking for someone with a strong focus on construction experience, who is detail oriented with a continuous process improvement approach and excellent organizational, prioritization and interpersonal skills. Also important to success is maintaining accuracy in a fast-paced and deadline-driven environment.

 

As a Construction Administrator…

  • Your primary responsibility will be to utilize department system and enter Small Task Estimates, run and distribute weekly Work Order Estimate and Actual reports for Operational Leads as needed. Your attention to detail will come into play while you monitor the department systems dashboard for accuracy.
  • You will create new reports and work with department systems team to have them placed on the Maximo dashboard. Year end, create updated existing reports as required for dashboard.  Create new reports and work with department systems team to have them placed on the dashboard.  At year end, create updated existing reports as required for dashboard.
  • Validate APL Timekeeping records per APL Policy. Assist or perform any modifications and adjustments.  Attend meetings and support the department system support team as needed for time card validation.  Develops, tests, and updates department systems functions.
  • Process invoices and create purchase requisitions for all of FDC. Track/follow-up on requisitions from creation to creation of PO to ensure timely processing. Create and track job requests and maintain job data.
  • Assist as requested with processing the chargeback feeder, verifying chargeback related charges, creating reports, processing adjustments, and answering queries as needed.
  • Organize, monitor and update FDC Construction network drives
  • Monitor construction schedules, resources and project cost.
  • Monitor and distribute monthly department systems reports, setup weekly reports for auto run and work within a team to create new reports.
  • Monitor, update and create new process documents and forms as required.
  • Monitor and update weekly APL’s material pricing sheet.

 


Qualifications

You meet our minimum requirements, if you...

  • Possess a High School diploma or equivalent and have experience in the construction field.
  • Have at least 2+ years of related experience in construction administrative support or equivalent
  • Exhibit outstanding attention to detail and strong organizational skills
  • Have the ability to collaboratively perform in a diverse and team environment
  • Excellent in multitasking, extracting data needs, prioritizing assignments, communicating progress, and meeting deadlines
  • Demonstrate strong interpersonal and communication skills, including the ability to work with all levels of staff.
  • Have a strong desire to learn and can easily adapt to changing environments  
  • Show a proficiency in working with Microsoft Excel, Word, Outlook, and Adobe

  •  Have Experience with Microsoft Project and Maximo software
