Position Summary
Reporting to the Operations Manager, the Executive Secretary provides
administrative and office support to all members of the department. Additionally,
they assist in entering financial information, uploading documents into Ebuilder,
and dispatching and maintaining the E-work order system.
Essential Functions
∙Assists with all aspects of the administration and operation of Campus
Operations.
∙Answers and directs calls, emails, and in-person inquiries. Collects,
reviews, and distributes departmental mail.
∙Schedules appointments and meetings.
∙Creates, dispatches, and maintains E-Work Order requests.
∙Orders and maintains all office supplies and equipment, including handling
any needs for service repairs.
∙Produces letters, memos, mailings, and miscellaneous correspondence.
∙Inputs and uploads financial documents and related paperwork with
appropriate budget numbers via E-Builder.
∙Handles all travel arrangements, expenses, and reimbursement requests.
∙Makes copies for all meetings and events and maintains all budget and
archival files.

Required Qualifications: Knowledge and Skills
∙Knowledge of E-Builder and E-Work Order cloud services.
∙Proficiency with Microsoft Word, Excel, and PowerPoint.
∙Excellent interpersonal skills and have a positive, friendly, and helpful
attitude.
∙Excellent communication skills.
∙Attention to detail and demonstrated writing ability.
∙Strong relationship builder, excellent teamwork skills, and ability to relate
well with others and work collaboratively, especially with students.
∙Ability to think critically, be self-motivated, plan and organize multiple
projects simultaneously, and meet deadlines.
∙Ability to anticipate challenges and have excellent organizational skills.
∙Strong work ethic
∙Successful candidates should have a knowledge of and commitment to
the goals of Jesuit Education.
Preferred Qualifications
∙Some college and/or BA preferred.

Monday – Friday
8:00 am to 4:00 pm
Minimum Biweekly Salary for All Others: $2,133.10
Maximum Biweekly Salary for All Others: $2,133.10
