- Serve as the first point of contact for students engaged in the Community Standards process. When communicating with Students and Support Systems (parent/guardian) provide empathic understanding of the concern, research issues as requested, assist in Referred Learning completion issues, provide explanation of Conduct and campus policies and procedures, book appointments with ADoS.
- Conduct file auditing to assure accuracy and consistency of documents and statistical reporting, generate templates and maintain records in Conduct software and other office records such as the Precedent Log, assist in statistical data collection and reporting, contribute to team meetings and initiatives
- Attend and contribute to meetings and events at all levels, attend trainings, provide Conduct assistance, and volunteer where needed
- Report Outcomes:
- Parent Notification Letters sent to parent or guardian of dependent students with probation or above
- Support Community Standards in reporting Clery Crimes to the College’s Clery Compliance Officer.
- Compile a weekly report of Student Athletes that were involved in incidents and their outcomes.
- Student Involvement, report to the Office of Student Involvement when Student Leaders engaged in policy violations.
- Sanctions:
- Manage Referred Learning Programs (Educational Sanctions associated with Alcohol and Other Drugs) completion.
- Send instructions and reminders, track and notify of completion/non-completion, troubleshoot electronic issues, communicate with Counseling Center for upper level RLPs
Duty/Responsibility
- Greet visitors coming to 48 Butler Court (Office of Community Standards and Dean of Students Office) and provide a welcoming, accessible, safe, and professional environment for students and others seeking assistance.
- Assist students connecting with Title IX (Sexual Misconduct) and Bias response (also located in 48 Butler Court) in a trauma informed and sensitive manner.
- Answer a high volume of telephone calls as a representative of The Office of Community Standards and Dean of Students Office, respond to appointment requests, take messages when indicated, and research inquiries.
- Review, prioritize, and respond to emails
- Create and maintain a professional, welcoming, and accessible waiting room
- Be prepared and respond to questions and inquiries about services and procedures in the Office of Community Standards and Dean of Students Office, from students, families, faculty/staff, direct to appropriate staff member as needed.
- Assess and manage walk-in or call-in crisis situations to determine appropriate next steps to assist the student including the following: scheduling emergency appointments, rearranging staff schedules to accommodate urgent needs, maintaining sound judgement and a calm and caring demeanor, provide information to individuals adjacent to student in crisis, consult with Assistant Dean or Dean of Students as needed, assist staff members with needed.
- Coordinate and collaborate with the Dean of Students and the Office of Community Standards referring students for specific mandated services
- Collaborate with KSC partners including Campus Safety, Community Living, Student Involvement, Keene Police Department, TIX, etc.
Duty/Responsibility
- Schedule appointments, maintain and coordinate calendars for all staff within The Dean of Students Team, as needed.
- Support The Dean of Students staff in providing quality service to students.
- Assist with the collection, management, analysis, and reporting for The Dean of Students Office.
- Order supplies, reserve space, and coordinate plans with other departments.
- Assist with troubleshooting of necessary databases and coordinate support for other technical issues as needed
- Coordinate communication and documentation between Office of Community Standards, Dean of Students Office and other departments on campus including The Wellness Center teams, Community Living, Dean of Faculty Office, and Registrar’s Office.
- Withdrawal and Leave of Absence Process:
- Assist Dean of Students in maintaining accurate records pertaining to Student Leave of Absences and Withdrawals.
Duty/Responsibility
- Inventory, order and maintain office supplies using current systems.
- Process all financial transactions for The Dean of Students Office and coordinate as needed with USNH Procurement and the KSC Finance team.
- Assist with budget maintenance and provide budget reports to staff as needed or requested.
- Process all incoming and outgoing mail for 48 Butler Court
- Assist with the management of 48 Butler Courts physical facility to input all necessary requests and coordinate with Facilities Services on repairs, needs, and issues.
- Serve as the point person for all campus and USNH systems utilized by The Dean of Students team including UShop, Kronos, Banner, Webi, Service Order system, and working with AP, contracts, HR, and ET&S.
- Schedule staff meetings and take minutes for administrative and staff meetings
Duty/Responsibility
- Coordinate hiring and training of work study/hourly student assistant. Allocate daily work based upon number of student workers available each semester, average of two students.
- Maintain weekly schedule for each student assistant.
- Review and approve bi-weekly time entries
- Supervise student assistants’ work and provide or coordinate training when needed.
