Essential Job Duties

The Admissions Specialist will work closely with another Admissions Specialist to support recruiting functions and application processing, provide coverage for the front desk, and communicate with prospective students and applicants and other NC State constituents. This position reports to the Associate Director of Admissions – Operations for the Jenkins Graduate Programs Office.

 In this role you will get to serve as the initial point of contact for individuals contacting or visiting the MBA office by responding to inquiries through the general email account and main phone line, as well as sit at the MBA front desk. Your exemplary skills in customer service will provide a high-touch and personalized experience to all candidates, current students, faculty and staff who are looking for direction to the appropriate unit for assistance.
 
Primary Responsibilities:
  • Enters new prospective students in the CRM – Slate Technolutions.
  • Maintains application spreadsheets/data entry as needed.
  • Tracks admitted student prerequisite course progress and special populations (waitlist candidates, deferrals, non-degree studies candidates, and non-registered interviewees)
  • Works with Operations & CRM Coordinator as directed on Slate tasks (creating reports, creating campaigns, etc.).
  • Partners with the Admissions Committee and Advising Team as needed for emails and calls to non-registered or non-matriculated students.
  • Saves Graduate School email newsletter updates to the team’s Google Drive.
  • Adds important Admissions Team dates to the office calendar.
  • Attends Graduate School brown bag meetings and Distance Education (DE) Coordinator meetings.
  • Provides support as needed with the planning and delivery of graduate program events such as recruiting sessions, orientation, residencies, graduation and other student engagement activities.
  • Serves as back-up for other Admissions Specialist role as needed.

Secondary Responsibilities:
  • Tracks and organizes all incoming application materials utilizing Slate Technolutions (calling candidates when needed).
  • Compiles application materials and creates applicant files for review for all programs.
  • Processes admissions decisions in Slate Technolutions.
  • Submits application fee waivers for processing.
  • Mails program information packets to prospects, applicants, and admitted students.
  • Takes notes during program meetings.
  • Processes and distributes department mail (incoming and outgoing).

Other Responsibilities

  • Assists with other projects, administrative duties, and initiatives as assigned.


Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Strong communication, interpersonal, and organizational skills.
  • Microsoft Office and Google Drive/Suite proficiency.
  • Attention to detail.
  • Proactive approach when handling projects and tasks.
  • Problem solver and innovator.

Preferred Qualifications

  • Experience with Slate Technolutions, SIS (Student Information System) and advanced Excel functions.
