Position Summary

The Opportunity: The Administrative Specialist will support and provide leadership to highly complex organizational and instructional matters overseen by the Office of Academic Affairs. The Administrative Specialist will be expected to: Serve as key technical advisor to executive leadership for matters related to college catalog, schedule of classes, and course databases. Monitor and facilitate process for program and course modification. Maintain curriculum records and course inventory. Administer highly complex or critical programs. Provide specialized administrative support, and/or technical duties in conjunction with instructional committees designated by the Vice President for Academic Affairs.

The position requires excellent interpersonal, communication and problem-solving skills, combined with a collaborative work style. This position works closely with faculty and staff to further the mission and vision of the college consistent with SVC's guiding principles.

This is a full-time, 40 hours per week, exempt position working on the Mount Vernon Campus.

Duties and Responsibilities

 

  • Provide ongoing support for the Vice President of Academic Affairs;
  • Perform a broad and complex variety of administrative tasks;
  • Provide analysis regarding educational data and outcomes, including enrollment and student success;
  • Assist with ongoing evaluation of instructional efforts and suggest strategies for improvement; select indicators and tools that address relevant questions to assist all stakeholders in growth and quality improvement efforts;
  • Monitor and manage instructional budgets and track fees and other sources of instructional revenue;
  • Provide technical expertise and analysis to division staff and administrators regarding educational codes, master course files, and technical reports;
  • Monitor the approval process for new courses, programs, certificates, and degrees with appropriate parties; maintain all curricular documents within the Office of Academic Affairs;
  • Maintain and update comprehensive curriculum master files and other related databases;
  • Coordinate efforts to produce an efficient and effective course schedule; Troubleshoot, identify, and resolve problems and issues related to production of the schedule of classes; confer with administrators, information systems personnel, faculty, and other staff to develop solutions and recommendations;
  • Coordinate information system needs for instruction and curriculum; identify system improvements and work closely with Information Technology staff and administrators to optimize reporting and data management capabilities;
  • Oversee, maintain, prompt, and facilitate institution-wide faculty evaluation process;
  • Serve as a ctcLink CS pillar expert for the college;
  • Provide ongoing training and support to administrative assistants for all units within the Division of Academic Affairs;
  • Provide necessary data and analysis for the Accreditation self-study and related reports;
  • Develop, recommend, and implement techniques and practices to improve the instructional function and ensure quality performance;
  • Lead or participate in college and district committees, task forces and other work groups to further the goals and objectives of the Office of Academic Affairs and the college;
  • Collaborate with Students Services and other departments on campus on matters related to academic standards, curriculum, registration, and class scheduling;
  • Prepare and maintain accurate District, local, State, and federal reports including attendance accounting records, and participate in the research and analysis of requested documents for audits of records as assigned;
  • Ensure compliance with appropriate state and college accounting, contracting, and purchasing rules and regulations;
  • Management of course fees;
  • Perform related duties as assigned.

Knowledge, Skills, and Abilities
  • Address problems from a broad interactive perspective using advanced research and analytical skills to conceive new solutions;
  • Use independent judgment in the analysis, interpretation, integration and application of complex data and information related to instructional matters;
  • Perform data analysis and build reports utilizing Excel;
  • Create periodic reports that meet college, accreditation, and other stakeholder interest;
  • Adhere to college and state processes, procedures, and deadlines;
  • Resolve conflicts and address faculty, staff, and student concerns in a fair, equitable manner;
  • Act and behave according to principles of integrity, respect, open and honest communication, and collaboration;
  • Provide excellent customer service by effectively addressing questions and concerns;
  • Learn new processes and software;
  • Prioritize and manage time effectively and meet deadlines;
  • Respond appropriately and with sensitivity to difficult situations;

Qualifications

Minimum Qualifications:

  • Bachelor's Degree or combination of education and experience;
  • Budgeting experience;
  • Experience with PeopleSoft/ctcLink;
  • Experience with course scheduling and faculty contracts;
  • Demonstrated commitment to equity, diversity, and inclusion.

Preferred Qualifications:
  • Experience with Modern Campus products Curriculog and Acalog;
  • Three years of progressively responsible experience as an administrative assistant for a senior-level manager;
  • Experience working with and supporting culturally, economically, and racially diverse students and faculty at an institution of higher education.

 

Salary, Benefits, Conditions of Employment, Application Procedure

Salary and Benefits:

  • Annual salary rate for this twelve-month, 100% of full-time position is $70,000 - $75,000 depending on experience;
  • Contracts are written annually for the period of July 1 to June 30. This position will be filled as soon practical after a candidate is identified and the salary will be pro-rated for the remaining contract period.
  • This position is exempt from civil service. This position is eligible for overtime.
