Overview

This position is considered remote, up to 1 day in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in Massachusetts, New Hampshire, and Rhode Island.

 

GENERAL SUMMARY: 

The Assistant Director works from within the Planned Giving (PG) team on database management, reporting, and tracking as related to PG assignments, collaboration activity, and revenue; provides new and improved tools, analysis, and reporting in support of planning; and special projects as applicable. Manages a portfolio of PG pipeline prospects by identifying, qualifying, assigning, and personally soliciting and cultivating a portfolio of 240 donors, prioritizing grateful patients and those age 65+. Responsible for recruiting 30+ Dana-Farber Society members each year and closing $1.5M+ a year in planned giving intentions. Responsible for assisting the entire Division with reaching financial goals.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

Research & Systems

  • Work with Information Services (IS), Prospect Research, and Prospect Managers (PMs) to develop and monitor tracking tools and moves management for PG prospects;
  • Planned Giving liaison with IS on ClearView Planned Giving Module, Jaspersoft, and any related IS and PG needs; meet quarterly with IS and as needed;
  • Planned Giving liaison with Prospect Research; meet quarterly with Prospect Research and as needed;
  • Planned Giving liasion with Campaign team; serve as lead for Planned Giving campaign initiatives - creating workflows, specialized reports, and ensuring compatibility with Division campaign efforts;
  • Partner with Prospect Research to develop and institute portfolio prioritization and clean-up tools. Oversee team-wide annual portfolio clean-up process;
  • Work with Prospect Research team on data-analytics model to predict future Planned Giving prospects and report out on progress and efficacy;
  • Work closely with the Assistant Vice President (AVP), Planned Giving on reporting, revenue projections and analysis of PG pipeline building initiatives. Report progress on goals & responsibilities to the team and department;
  • Work with Assistant Vice President of Planned Giving to set annual goals, objectives, and operating plan
  • Prepare annual/quarterly/or monthly revenue projections for F&RM to project annual revenue by month using historical averages
  • Educate and train PG colleagues on ClearView and Jaspersoft matters; train all new non-PG frontline staff on PG business rules with regards to ClearView and counting/crediting;
  • Maintain existing reports while monitoring and addressing PG reporting needs in collaboration with PMs and AVP as they arise;
  • Assign and track 500+ inquiries and leads a year for PG fundraisers across the team
  • Prepare and distribute materials for inquiry follow-up and disseminate follow-up action items to appropriate parties;
  • Create and execute team-wide solicitation strategies and templates
  • Work with Assistant Director to plan and execute the coding of 600+ responses and PG follow-up strategy for the Stelter survey responders;
  • Work with Assistant Director and PG colleagues on stewardship projects, events, and tours;
  • Update folder with proposal and inquiry templates as well as recent general articles on DFCI and specific disease areas to be used for stewardship purposes;

 Personal Solicitation

  • Partner with Planned Giving team to achieve annual revenue targets of $20M+ in new and realized commitments each year;
  • Manage a dynamic portfolio of approximately 240 prospects with a goal of raising $1.5M annually;
  • Recruit 30+ Dana-Farber Society members each year; responsible for closing $1.5M a year in planned giving intentions
  • Send a minimum of 14 bequest proposals, 12 life income proposals, and 7 outright gift proposals each year;
  • Serve as a strategic resource for other frontline fundraisers in the Division of Philanthropy. Collaborate with Annual Giving, Jimmy Fund, and Principal & Major Gifts colleagues to identify planned giving prospects, provide technical expertise, trainings on planned giving vehicles, talking points and proposals to generate more legacy giving;
  • Identify and research prospects; make outreach to thank donors, learn more about the donors, and qualify them for the Dana-Farber Society, as well as cultivate for future visits;
  • Solicit prospects to become members of the Dana-Farber Society (DFS) by including DFCI/JF in their wills or trusts, or by establishing a charitable gift annuity (CGA), Qualify and cultivate prospects toward DFS membership; prepare and submit proposals; track results;
  • Utilize mail, phone, email, or volunteers for solicitation or cultivation as appropriate;
  • Perform special projects, donor tours, and other meetings as assigned.

Other Activities as Needed    

  • Participate as needed in Division of Philanthropy team efforts including solicitation strategy teams for key prospects and internal planning efforts. Ad-hoc projects. Other responsibilities as assigned.

SUPERVISORY RESPONSIBILITIES:

Reports to Assistant Vice President of Planned Giving. Shares supervisory responsibility of one Senior Assistant with the Senior Director, Planned Giving and Assistant Director, Planned Giving.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree required with 3-5 years of data and project management and frontline solicitation experience required, preferably in a Philanthropy setting.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Close attention to detail, excellent planning, verbal and written communication, and organizational skills are necessary. Ability to handle multiple tasks and complex projects in a fast-paced environment. Effectiveness in working with wide audiences (including highest level of Dana-Farber constituencies) and strong customer service will be key. Familiarity with navigating data bases and reporting, ability to sort and synthesize data, is essential. Solid working knowledge of Microsoft Office suite, Excel proficiency required. Ability to work independently and be self-motivated. Excellent problem solving and reasoning skills. Demonstrated ability to meet fundraising goals and deadlines. Planned Giving experience is a plus.

This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.
