Primary Responsibilities

In the role of Administrative Assistant, we'll count on you to:

This is a part-time 30 hours a week, Monday through Friday position in our beautiful San Diego Downtown office.

Administrative Assistant duties:

* At the receptionist desk provide support for staff as needed, including answering and directing telephone calls, greeting employees and visitors with safety orientation, scheduling conference rooms in Outlook calendar, etc.

* Open incoming mail, date stamp and distribute mail and packages to staff.

* Setup food and drinks for all meetings. Make sure all conference rooms are cleaned after each meeting.

* Stock refrigerator with soda for meetings.

* Perform photocopying, scanning and printing assignments.

* Fulfill duties of other Admin. Assistants when necessary on any of their assigned tasks.

* Load/unload daily and run dishwasher.

* Notify Office Administrator if any office or coffee supplies need to be ordered.

* Perform other duties as requested by Office Administrator or Administrative Team.

* Exercise good judgment and discretion, and independently resolve problems and issues relating to administrative functions.

Quality Project Administrator duties:

* Assist Project Managers regarding development of project plans (e.g., PMP, QMP, RMP).

* Assist with communicating QMS updates and Quality Office directives to project teams as appropriate.

* Maintain and monitor the proper scheduling and completion of QA and QC activities through the department's use of the QMIS.

* Create and maintain the project quality documents for the life of a project.

* Maintain the document controls.

* Compose and organize materials and reports and maintain records for work performed.

* Coordinate and manage meeting facilities and arrangements.

* Handle highly sensitive and confidential information with professionalism and discretion.

* Type, format and organize project documents, reports, specifications and correspondence.

* Create and maintain electronic files.

* Order insurance and monitor insurance certificates.

* Apply company quality assurance guidelines and procedures for project document management.

* Assist with and help coordinate meetings and presentations.

* Exhibit professionalism with clients.

* Work with multiple Project Managers and project teams as needed.

* Assist with project reviews, and project-specific meetings as needed.

* Type, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy or previous versions

* Proofread and edit documents for grammar, spelling, punctuation and format

* Provide support for staff as needed, including backup reception duties, answering and directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls, and distributing incoming faxes and mail

* Complete word processing as needed, including letters, memos, reports and labels

* Provide meeting setup, travel arrangements, light accounting and other miscellaneous tasks/projects as needed

* Perform other duties as needed

Qualifications

Required Qualifications

* High School diploma or equivalent

* Experience: 1 year as Administrative Support

* Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills

* Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment

* Self-motivated, well-organized and detail-oriented

* Ability to handle confidential information

* Proficiency with MS Office including Word and Outlook

* High attention to detail, quality and deadlines.

* Proficient with Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.

* Flexible, dependable, multi-tasks and ability to prioritize tasks.

* Excellent communication and interpersonal skills.

* Can travel to work in other local So Cal offices.

* An attitude and commitment to being an active participant of our employee-owned culture is a must.

* Must be able to pass a background check.

* Must be legally able to work in the United States of America.

* Must have a valid Driver's License and ability to operate a vehicle day or night.
