Detailed Job Description
The Assistant Dean for Finance and Administration (ADFA) reports directly to and serves as an advisor to the Dean. The ADFA will partner with College leadership in maintaining our financial and administrative commitment to academic and research activities in all aspects of their areas of assigned responsibility, decisions, and recommendations.
This is a highly visible and high impact position that helps develop and implement the strategic direction of the college and is responsible for the implementation and oversight of business operations for the College, including fiscal, information technology, and facilities functions, and alignment with human resources.
This position serves as a member of the Dean’s cabinet and demonstrates a sustained commitment to diversity and inclusion in all aspects of leadership and management activities, decisions, and recommendations. Develops and maintains the centralized budget for the college. The position requires the capacity to think strategically and forecast, model and project revenue in addition to developing business growth and reallocation plans. Assumes responsibility for anticipating opportunities and threats, and advising on prioritization of initiatives, with a strong focus on sustainability and financial strength. Resolves issues on behalf of senior leadership of the college.
Advises the Dean and leadership on fiscal matters; establishes administrative policies, procedures and systems; assumes authority to approve business transactions and, in conjunction with senior leaders, designs administrative policies and procedures; develops and implements College policies and procedures related to fiscal, risk management, and entrepreneurial activities and advises the Dean, Associate Deans, Department Chairs and Veterinary Health System leaders on fiscal, budgetary and administrative matters; on behalf of the Dean the ADFA is the liaison with and collaborates with the Human Resources Business Partner on the implementation and execution of college human resource functions and initiatives to ensure compliance with University and internal HR policies as well as alignment with the organization's strategy reinforcing the culture and values established by the Dean; supervises directly or indirectly the college business office, operational, and support staff.
Provides mentorship and career development opportunities for direct and indirect reports with an eye to career development but also enduring broad understanding of operations and the need for cross coverage. Align HR strategy with fiscal strategy in consultation with the Human Resources Business Partner.
Responsible for oversight and maintenance of the established financial and operational processing environment to ensure adherence to established internal control structures. This includes, but is not limited to, appropriate segregation of duties in the processing of all financial transactions, appropriate mandatory approvals and appropriate mandatory reconciliations.
Participates on University committees and functions as the college's liaison on fiscal and administrative matters with University-level units (Business and Finance, Office of Human Resources, Office of Legal Affairs, Office of Sponsored Programs, Facilities Operations and Development, etc.) and as the Data Liaison to its accrediting bodies. Represents the Dean and serves on committees as requested and works on special projects as assigned by the Dean.
Minimum Education Required
Master's Level Degree or equivalent combination of education and experience with a Major in business administration or accounting
Extensive experience in an administrative and managerial capacity as senior fiscal officer in a university setting desired. Demonstrated ability in university budget management, information technology, facilities and human resources desired. Requires strong problem solving skills, planning, outstanding verbal and written communication skills.
