Job Description

  • Position Summary: The Foundation Bookkeeping and Administrative Assistant provides operational and administrative support to the Executive Director of ESCC Foundation with a focus on bookkeeping and administrative duties. The range of duties includes, but is not limited to fiscal, fundraising and support activities. Ideal candidates will be self-motivated, detail-oriented, and focused. This position is part-time (10-15 hours a week). This is a restricted funded position.

  • Functional Responsibilities:


  • Process donations by creating log of checks in Excel and preparing bank deposits
  • Make bank deposits by driving to bank
  • Provide dual controls to code and process invoices to be paid
  • Scan and file invoices
  • Prepare checks to be mailed
  • Manage and process requests for reimbursements for Educational Toll Fund Program
  • Assist in preparation of reports for the Educational Toll Fund Program
  • Assist with fundraising operations including tracking donations, preparing acknowledgment letters, and grant reporting
  • Create spreadsheets of donor prospects
  • Assist in preparation of minutes and reports to Foundation Board of Directors
  • Assist with preparation of materials for annual audit
  • Assist with special events
  • Perform general office related duties including copying, scheduling, data entry, etc.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications
  • High School diploma or equivalent
  • Intermediate knowledge and experience using QuickBooks to process and pay invoices
  • Intermediate knowledge and experience using Excel to create spreadsheets and track expenditures and revenue
  • Administrative and office management experience in an automated environment.
  • Ability to work successfully and independently with moderate supervision.
  • Skill in analyzing and organizing data for bank deposits, payment of invoices, preparation and mailing of checks
  • Ability to plan, organize, and prioritize the workload and manage multiple responsibilities with accuracy, meet deadlines, and respond to changing priorities.
