Full job description

Whatcom Community College invites applications for a Classified, Program Specialist 2 (Class Code 107I). This position supports both the office for instruction (50%) and the office for assessment and institutional research (AIR, 50%).

Instruction office (50%): This position provides support for the Curriculum and Enrollment Specialist, as well as cross-training with other staff in the instruction office. Functions include updating course catalog and class schedule information using ctcLink/PeopleSoft; scheduling rooms in the 25Live software; complex scheduling of quarterly class courses; collecting syllabi from faculty; and using curriQunet (WCC's curriculum and outcomes assessment management software). The need for accuracy is critical, as well as an understanding of the functionality and interconnectedness of the data. This understanding is critical to troubleshooting and avoiding errors that may impact other college processes. This person must be able to work and make decisions independently, sometimes at a hectic pace.

AIR office (50%): This position supports the AIR office's responsibilities for the dissemination of three major types of information on campus: outcomes assessment (including teaching and learning), surveys and focus groups, and institutional data. The outcomes assessment structure at the college, program, and course levels is established and this position assists in maintaining certain fundamental tasks and processes and supporting this work.

This position takes the lead in independently developing and conducting surveys and focus groups. The AIR office leads efforts in gathering, analyzing, and providing institutional data for accreditation, strategic planning, student success, grants, institutional research, the work plan report, and the program/discipline improvement processes - many of which responsibilities this position supports. This position also takes the minutes and supports several committees on campus.

Also, this position takes the lead on independently recruiting, hiring, training, and facilitating the AIR student advisory group.

This position helps support the accreditation work on campus.

Responsibilities

Instruction:

  • Provides back-up support for the curriculum and enrollment specialist and other staff in the instruction office for both credit and non-credit classes.
  • Gathers, enters, and proofs, information into spreadsheets and databases such as curriQunet (WCC’s curriculum management software), PeopleSoft, and 25Live Classroom Scheduling software: Reviews quarterly credit and com-ed schedules for conflicts, back-to-back bookings, class needs, missing rooms, etc.
  • Processes student co-op and learning contracts.
  • Updates course catalog and class schedule information using college specific procedures, State Board for Community and Technical Colleges guidelines, and data field information.
  • Schedules rooms for quarterly credits classes and other meetings and events.
  • Schedules changes and proofs for continuing education classes.
  • Collects and tracks syllabi for all courses every quarter.

Assessment and Institutional Research Office:

  • Coordinates, organizes, and conducts surveys, including all logistics and follow-up.
  • Coordinates, organizes, and facilitates focus groups and listening sessions, including all logistics and follow-up.
  • Compiles survey and focus group results into reports and posts reports on the website.
  • Coordinates and supervises the work of the AIR student advisory group and independently makes decisions about its work (e.g., recruiting, hiring, training, approving pay, and facilitating projects).
  • Enters outcomes assessment-related and institutional research data into systems and supports the outcomes assessment processes.
  • Formats and posts documents to the assessment and institutional research website.
  • Schedules and coordinates logistics for meetings, conferences, surveys and focus groups, and prepares and distributes materials.
  • Supports and takes minutes for the outcomes assessment committee and student success and achievement committee, and other committees.

QualificationsMinimum Qualifications:

  • Bachelor’s degree.
  • Two years of full-time clerical or data entry.

Or equivalent combination of education and experience.

  • Experience with word processing, spreadsheet, and database software.
  • Research, analytical, report writing, and/or group facilitation skills.

Preferred Qualifications:

  • Strong oral and written communication and interpersonal skills.
  • Experience working in the community college environment.
  • Experience conducting surveys and/or focus groups.
  • Excellent customer service skills including maintaining a professional, friendly demeanor.
  • Experience performing accurate data input and basic data analysis (qualitative and quantitative).
  • Detail oriented and organized.
  • Able to juggle many tasks and projects at the same time.
  • Ability to actively contribute to a work environment that embraces diversity and uses diverse perspective to enhance the attainment of organizational goals. Treats everyone with respect and dignity and appreciates the differences in people.
  • Ability to earn the trust, respect, and confidence of coworkers and the public through consistent honesty, forthrightness, and professionalism in all interactions.

Salary

Salary and Working Conditions:

  • Range 42, full-time Classified salary starting at $3,537.00 per month with periodic increments to $4,602.00 per month.
  • Position’s work schedule is 40 hours per week. Monday- Friday 8 am - 5 pm.

  • The position comes with a full benefit package, including health, dental, life, long-term disability insurance and a retirement plan.
  • Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.
