Planned Parenthood Los Angeles is seeking an experienced Human Resources Specialist with excellent communication and customer service skills to work in our Downtown Los Angeles Headquarters. Under the general supervision of the Employee Relations and HR Compliance Director, provide support to the HR leadership team and within the operational area of the Human Resources Department. The position provides coordinated clerical and administrative support for our PPLA employees and volunteers specializing in employee experience. Function as a lead support team member and subject matter expert on tangible and intangible employee benefits within Human Resources, and contribute to process improvement efforts throughout.

Our Ideal Candidate will have the following qualifications:

  • Bachelor’s Degree or equivalent work experience required
  • At least two (2) to three (3) years work experience in a Human Resources administrative environment required
  • Knowledge of commonly-used Human Resources concepts, practices, and procedures according to applicable CA labor laws and internal PPLA handbook & policies
  • Strong organizational skills and superior attention to detail
  • Knowledge of or ability to use means to monitor and track processes as a part of coordinated process improvement efforts
  • Ability to effectively manage projects while balancing priorities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook & PowerPoint), as well as ability to utilize internet resources
  • Demonstrated integrity, professional conduct, and ability to collaborate with team members
  • Ability to work flexible hours, including evenings and weekends as required
  • Ability and willingness to travel within Los Angeles County
  • Bilingual skills desirable

About the position:

  • Facilitate New Hire Orientation / onboarding
  • Revise, organize, order, stock, and maintain HR-related forms and packets including new hire packets, employee handbooks, benefits information, orientation packets, termination/COBRA packets, and year-end packets
  • Serve as back-up to front desk / receptionist for headquarters
  • Partner with Finance in auditing timesheet records to ensure proper coding
  • Provide administrative support to the VP, Human Resources and HR Director including calendar management, communications, meeting logistics & coordination, travel arrangements, and expenses
  • Open and distribute mail on a daily basis. Date/time stamp all incoming mail
  • Provide guidance to employees on PPLA benefit offerings
  • Create and maintain personnel files for current and former employees in accordance with regulatory requirements, ensure timely and accurate filing of all personnel-related forms & documentation
  • Input and maintain accurate and current employee personnel data in electronic personnel record-keeping and report system, HRIS (Human Resources Information System)
  • Maintain tracking and reports related to internal department quality control
  • Support Human Resources and Patient Services through the audit process by maintaining up to date and complete personnel and training files, and accessing those files as needed
  • Organize and maintain Human Resources electronic resources, including organization of files on internal drives; ensure electronic files are organized to be user-friendly for customers whether internal or external to department
  • Provide word processing, data entry and clerical assistance using Microsoft Word, Excel, PowerPoint, Outlook and various data management programs
  • Assist with the planning and coordination of staff trainings and in-services and distribution & tracking of follow-up materials
  • Assist with the execution of PPLA staff recognition programs, including employee awards, employee recognition event, giveaways, anniversaries, etc.
  • Manage sensitive and confidential matters such as the security of information data maintenance of I-9 forms and documents
  • Be the face of the HR department, answering tier one employee questions with a focus on customer service and maintaining a positive and supportive demeanor
  • Respond to inquiries from employees and external parties; process employment information/verification requests consistent with agency policies and confidentiality requirements
  • Generate reports related to personnel data, including employee training and development, performance appraisal processes, recruitment and retention practices, and mailing label generation
