Essential Job Duties

The Administrative Support Specialist supports NC LIVE, a statewide organization hosted by the NC State University Libraries. In this role you will provide advanced administrative support for a broad variety of functions for the NC LIVE Executive Director, Assistant Director, and other NC LIVE staff.

Key Responsibilities include but are not limited to:

Executive Support:
  • Managing an active calendar of appointments
  • Plan and arrange travel for the Executive Director and ensure that travel authorizations and reimbursements are made in accordance with policies and procedures.
  • Gathers data and generates reports for Directors and staff

Program Support:
  • Help resolve, refer or triage inquiries as needed.
  • Composes and prepares communications using thorough knowledge of NC LIVE process and procedures.
  • Processes incoming and outgoing invoices and payments, ensuring that payments are in line with University and Department policies.
  • Plan and coordinate events, conferences, program and meetings.

Additionally you will serve as a liaison to the Libraries’ Human Resources and Finance and Business operations.

Minimum Experience/Education

High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications

  • Knowledge of administrative office support processes and protocol
  • Demonstrated experience using various office and productivity tools, including word processing, email, web browsers, and spreadsheets or databases
  • Proven ability to meet high service standards in all interactions (in-person, by telephone, via email or online)
  • Attention to detail, time-management, and organizational skills
  • Strong written and oral communication skills; strong grammatical skills and ability to compose, edit, and proofread
  • Ability to foster an environment of belonging and well-being
  • Ability to maintain confidentiality
  • Ability to work independently and in a team environment
  • Strong problem-solving skills
  • Ability to interpret and explain a wide variety of policies and procedures, varying from basic to complex, to the public, and to exercise independent judgment
  • Demonstrated ability to locate, analyze, and interpret data contained in complex online systems
