Position Summary/Purpose of Position:

The Advancement Coordinator in the A. James Clark School of Engineering will enhance the operational efficiency of the Engineering Advancement Office (EAO). The Advancement Coordinator must be highly skilled in organizing resources and establishing priorities. The successful candidate will thrive in a fast-paced and dynamic work environment.

This role requires a high-level of interpersonal skills and understanding of strategic initiatives to work effectively across a wide range of constituencies. The Coordinator will prioritize and troubleshoot scheduling for the Chief Development Officer and Senior Directors, manage preparation and logistics for meetings with external stakeholders, and facilitate the involvement of faculty, staff, and students in donor cultivation activities.

The Coordinator is responsible for managing and monitoring the EAO budget, facilitating contracts, making travel and meeting arrangements, ensuring prompt vendor payments, and ensuring compliance with university policies.

The incumbent will design and implement data management processes, lead the team’s onboarding of new employees, leverage project management tools for effective collaboration and be a subject matter expert in university systems.

This position will hire, train, and supervise two student assistants including managing and delegating assignments.

Attendance at events during and after regular office hours and weekends will be necessary.

Limited travel, primarily in the Baltimore-Washington region, is required.

This position is integral to the success of the Engineering Advancement Office, contributing to its strategic goals and maintaining high standards of professionalism.

Minimum Qualifications:

Education and Experience:
  • Bachelor’s Degree and at least three years of experience in advancement operations, executive or office management, higher education, or similar OR Associate’s Degree AND five (5) years of experience in advancement operations, executive or office management, higher education, or similar.
  • Two years of experience in invoice/expense processing and budget reconciliation.
  • Proficient in Microsoft Office including Excel, PowerPoint and Google applications and a demonstrated ability to learn and become adept at new technologies.

Knowledge, Skills, and Abilities:
  • Ability to manage and organize multiple tasks effectively in a dynamic, fast-paced environment.
  • Resourceful with attention to detail and follow-through.
  • Strong analytical skills capable of collecting, organizing, and synthesizing data to facilitate decision-making.
  • Excellent customer service skills and ability to act professionally when working across many levels of constituencies.
  • Strong written and oral communication skills.
  • Familiarity with donor database tools, such as Advance, BlackBaud, or others.
  • Ability to work evenings and weekends as necessary.

  • Bachelor’s Degree.
  • Experience with the University System of Maryland or institutions with similar procurement and financial policies.
  • Experience in fundraising/development environments or higher education.
  • Experience managing high-level meetings or events.

Salary Range: low to mid $60,000s

This position allows for a combination of in-person and telework days as approved by the supervisor. Guidance regarding hybrid work is subject to change at any time to align with operational or business needs.

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Substantial movements (motions) of the wrists, hands, and/or fingers.
