The Division of Academic & Student Affairs (DASA) is where students discover connections and community. The division serves all students at NC State through three integrated components: academic affairs, student affairs, and University College.

Resiliency and Community Support is a newly formed team that supports the student experience by aligning several programs and functions that support student well-being, sense of belonging, and promotes a supportive, safe campus environment. These professional staff facilitate NC State’s Pack Essentials program that supports students in meeting basic needs. Additionally, the team is charged with supporting signature university events such as Packapalooza and critical functions in support of student success such as follow-up on individual student inquiries, absence verification, and written student complaints. Finally, this team supports the campus resilience operations in response to emergency and crisis situations and provides critical postvention leadership.

Essential Job Duties

The University Program Associate (UPA) for Community Support provides administrative and programmatic support for the implementation of institutional initiatives that support students in meeting their basic needs. The UPA will be responsible for the following:

Program Administration and Support 
  • Maintain knowledge of the University’s Absence Verification Process in order to perform daily tasks related to that process.
  • Provide support for the written student complaint process based on knowledge of the university structure and operations.
  • Administer day to day aspects of and provide administrative support for the Wolfpack Pickup program.
  • Maintain the website for the Wolfpack Pickup, Packapalooza, and the Office of Student Life and Advocacy, Resiliency and Community Support, and other programs as required.
  • Process program specific contracts in alignment with University policies, rules, and regulations.
  • Maintain up-to-date inventory and contact lists for off campus apartments and community partners that support off campus students.
  • Support the Program Director and DASA Development with fundraising and gift stewardship as required.
  • Provide communications support for emergency and crisis response.
  • Follows requirements for confidentiality required under Family Education Rights and Privacy (FERPA).
  • Supervise the student employees for the Wolf Pack Pick Up program including scheduling, payroll issues, and timekeeping related matters.

Financial and Records Management 
  • Maintain appropriate records for the absence verification process in alignment with University PRRs and records retention schedule.
  • Maintain appropriate records for written student complaints in alignment with University PRRs and records retention schedule.
  • Process travel, purchasing, and other expenditures for the department.
  • Reconcile purchasing cards and departmental projects.
  • Provides financial reports as needed.

General Administration Support 
  • Provides general administrative support including calendar, meeting, and logistics support for the program director and the assistant vice chancellor.
  • Provide back-up support for the program director for community support and the assistant vice chancellor.
  • Cross-train with the program associate for Pack Essentials to ensure sufficient coverage for unit obligations.

Other Responsibilities

  • Other duties as assigned. 

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Ability to supervise, train, and mentor student employees and interns.
  • Ability to perform administrative tasks including calendar management, space reservations, meeting technology support, and meeting agenda/notes/minutes.
  • Ability to prioritize tasks within a context of competing priorities.
  • Ability to develop and maintain productive and collaborative work relationships in order to facilitate effective service.
  • Demonstrated ability to independently create written communications that are error free and effectively articulate a purpose.
  • Demonstrated ability to engage in verbal communication appropriate for the audience.

Preferred Qualifications

  • Experience working in higher education.
  • Experience developing and maintaining a website.
  • Experience using Google Productivity Suite including Gmail, Calendar, Sheets, Google Forms, and Google Docs.
