POSITION TITLE: Administrative and Admissions Assistant

DEPARTMENT: Student Services

REPORTS TO: Dean of Students

WORK HOURS: M-F, 8:00 a.m. – 4:30 p.m. Will require flex schedule to accommodate college events and recruitment programming.

STATUS: Non-exempt

LICENSE/CERTIFICATION REQUIREMENTS: Valid MN Driver’s License, current insurance or be insurable.

SUMMARY:

The primary responsibility of this position is to provide operational and administrative support to the Office of Student Services by facilitating the productive flow work through appropriate communications. This position is critical in providing executive administrative support to sustain consistency, organization and professionalism at the administrative level. This team member will also fill the Admissions Outreach position as needed and in support of the Outreach Admissions Coordinator by coordinating and implementing in admissions procedures and strategies at LLTC through the input of student records, as well as other duties as appropriate to the needs of the Student Services Department.

EDUCATION: Bachelor’s Degree in related field with 1 to 3 years’ experience directly related to the duties and responsibilities preferred. An Associate’s Degree and two years’ experience directly related to the duties and responsibilities required. Applicants must be able to demonstrate a track record of proactive, progressive and successful community outreach, interaction and service for full consideration.

DUTIES/RESPONSIBILITIES:

1. Provide administrative support to the Dean of Students, process documents for immediate supervisor and on occasion, faculty.

2. Assist and direct students and the general public in need of guidance for student services,

various departments with the college, enrollment and/or other information being requested.

3. Assists the Registrar with data entry.

4. Maintain the confidentiality of Leech Lake Tribal College and protect the privacy of our students as required by FERPA.

5. Assist with travel Authorization Forms and/or travel arrangements for the Dean of Students and others within the department.

6. Maintain files for immediate supervisor, curriculum and course syllabi, and other documentation related to the mission of the college.

7. Provide occasional support and backup for college reception office.

8. Other duties assigned by the Dean of Students.

9. This role is integral in the day-to-day, fast-paced environment of the administrative office and is a highly visible position, both internally and externally, requiring use of appropriate discretion and sound judgment. You will be handling details of a highly confidential and critical nature.

10. Resolves or assists in the resolution of problems and/or complaints and initiates corrective action as appropriate.

11. Serves on various college committees and participates in professional organizations as appropriate to assignment.

12. Initiate, coordinate, and implement presentations regarding the College’s academic and career development programs to high school students, high school professionals, parents, industry and community organizations including panel presentations, group presentations, college information fairs, classroom presentations, and admissions workshops.

13. Collaborate with Admissions Outreach Coordinator to plan, coordinate, and host events on campus and in the community for the overall marketing and recruitment direction of the College; schedule college visitations and other events.

14. Collaborate, plan, and assist Student Service staff in new and returning student orientations, summer registration events, and other specifically targeted recruitment and retention events.

15. Promote student retention and success; prepare, update, and provide accurate articulation information for retention and success of students utilizing the appropriate system.

16. Operate a computer and related equipment and software, which will include having administrative access to LLTC social media sites to assist in recruitment efforts.

17. Employee is required to respond to phone calls and email in a timely manner; as well as to follow the policies of the College as outlined in the Personnel Manual, Employee Handbook, College Catalog, Student Handbook and other publications of the College.

18. Will be required to drive to various locations to conduct work.

19. Other duties as assigned.

9. Strong organizational and time management skills.

10. Develop and maintain recordkeeping systems and procedures.

11. Travel as required.

12. Work effectively as a team member of LLTC.

13. Provide quality customer service and support to the LLTC and all stakeholders.

ADDITIONAL QUALIFICATIONS AND SKILLS:

  • Understanding knowledge of, and commitment to the mission, vision and goals of LLTC.
  • Experience working within Ojibwe communities.
  • Demonstrated commitment to serving others from diverse backgrounds, interests, and abilities.
  • Ability to interpret; adapt, and apply guidelines and procedures.
  • Knowledge of computerized student information systems and Microsoft applications.
  • Must pass pre-employment drug test and criminal background checks.
  • Native American Preference.

PHYSICAL REQUIREMENTS:

  • Ability to lift 30 pounds or more and use proper body mechanics
  • Be able to sit or stand for long periods of time
  • Subject to internal working conditions.
  • Non-smoking environment.

Job Type: Full-time

Pay: $17.50 per hour

Expected hours: No more than 40 per week
