Position Summary

Big Bend Community College (BBCC), a rural college serving vibrant, culturally rich communities in the Columbia Basin of Central Washington invites applications for a full-time, Bilingual Spanish/English Program Assistant in the college's Financial Aid Office. This is an overtime eligible position.

Under general supervision and reporting to the Director of Financial Aid, the successful candidate will independently perform a wide variety of complex duties in support of the Financial Aid Office within the larger Student Administrative Support Services Department. Responsibilities include, but are not limited to, providing information about the Big Bend financial aid application and award processes and procedures to students, parents, staff, and the public over the phone, via email and in person. This position will complete a preliminary review of the financial aid application information submitted; track documents into the ctcLink system; and navigate students through the application process.

This position will provide general assistance to the Student Administrative Support Services Department and serve as a main point-of-contact on department phones, including answering basic admissions, registration, financial aid, student employment, veteran benefits, advising, counseling, and disability support services questions.

Essential Job Duties

ESSENTIAL JOB DUTIES:
Responsibilities will include but not be limited to the following:

  • Disseminate information about BBCC financial aid application and award processes and procedures to students, parents, staff, and the public over the phone, via email, and in person. Assist students with computer based financial aid applications.
  • Review and track documents and information into the ctcLink system. Complete a preliminary review of students' financial aid application documents, assess student information contained in the admissions/registration systems to assist in determination of aid eligibility, and processing of suspended applications in the system.
  • Use federal and state financial aid regulations as well as BBCC policies and procedures to review students financial aid files for accuracy.
  • Enter and monitor scholarship and agency awards information into the ctcLink system.
  • Perform student financial aid verifications when requested by departments on campus or by agencies in the community.
  • Perform duties associated with the Federal Loan Program and default management, including but not limited to sending out loan letters and tracking exit interviews when applicable.
  • Help students with setup and understanding of the BankMobile program. Reviews reports and works with the Business Office to resolve any issues related to the BankMobile process.
  • Provide information regarding college resources and programs. Answer inquiries regarding course offerings, tuition, fees, registration, admissions, financial aid policies and procedures, and general college questions.
  • Help students resolve registration questions and issues, including troubleshooting online registration problems, investigating enrollment discrepancies for other college departments (Business Office, Financial Aid, Instruction, etc.), and processing of forms.
  • Schedule student appointments with counselors, advisors, the Accommodation & Accessibility Services Coordinator, and the Dean of Student Services.
  • Provide a high level of customer service to students, faculty, staff, and the public, particularly during high volume periods and in challenging situations.

OTHER WORK ACTIVITIES:

  • Maintain professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure no injuries to self or others by following safe work practices and policies. This includes, but not limited to security and safety, understanding of SDS, equipment, infection control, fire, disaster, safe lifting, and body mechanics.
  • Ensure compliance with college policies and procedures and state and federal regulations.
  • Conduct self in a professional manner and ensures the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the college's values.
  • Perform related duties and responsibilities as may be required.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:

  • Knowledge of Federal and State laws and regulations related to financial aid and maintain a high degree of accountability in the application of policies, rules, and regulations.
  • Experience with PeopleSoft (ctcLink), and/or other automated or computerized student/client systems.
  • Proficiency with Microsoft Office Suite.

DUTIES OF THE POSITION REQUIRE THE ABILITY TO:

  • Think critically and problem solve or respond to challenging situations.
  • Communicate effectively and convey detailed information to students, staff, and the public.
  • Organize daily work and prioritize tasks; keep track of information or work in progress, ensure accuracy, handle interruptions effectively, and meet deadlines.
  • Work independently and reliably. Regular and consistent attendance is expected.
  • Demonstrate competency in the ability to provide service in a multicultural environment.
  • Maintain a high level of confidentiality.

REQUIRED WORK SCHEDULE AND WORK ENVIRONMENT:
Work is sedentary in nature with frequent repetitive hand and wrist motions. Frequent use of computer and exposure to terminal screens in performing work assignments. Frequent need for oral and auditory communications. Occasionally kneel, stoop, crouch, crawl, reach, and lift up to 25 lbs. in an office environment.

Basic work schedule is 7:30am to 4:30pm, Monday through Thursday and 7:30am to 2:00pm on Friday. Hours may be adjusted to meet the needs of the department and various events.

Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:
At the time of application, all candidates must possess the following:

  • High School diploma or equivalent and two (2) years of work experience in a professional clerical support position with experience providing services to and working with the public OR Equivalent education/relevant work experience.
  • Must have the ability to read, write, translate, and converse with fluency in both Spanish and English. Bilingual jobs include a 5% salary increase for dual language responsibilities. Successful candidate must pass reading/writing/speaking/listening Spanish comprehension assessment.
  • Experience using Microsoft Office products - Outlook, Word, Excel in a professional setting.

DESIRABLE QUALIFICATIONS:

  • Associate’s degree from a regionally accredited institution.
  • Knowledge of federal and state financial aid programs.
  • Experience working with student records.
  • Knowledge of the Family Education Rights and Privacy Act (FERPA).
  • Experience with software applications such as ctcLink, EDExpress, FAAccess, EdConnect and National Student Loan Data System and other student information systems.
