Senior Administrative Assistant

Job Description

SENIOR ADMINISTRATIVE ASSISTANT, Chemical Engineering, to perform complex, diverse, and high-level administrative duties in support of Professor Robert Langer and a lab of approximately 100 members.  Will proactively manage Professor Langer’s diverse, complex C-level calendar; coordinate travel and associated paperwork (including intricate itineraries) and reimbursements; develop, update, and maintain databases/filing systems/records; organize meetings/schedules, prepare agendas, and arrange for lab tours; organize lab’s presentation at FOCUS seminar and other high-profile events; serve as the initial point of contact in the office; collect and submit UROP grades and assist with other UROP or advisee tasks; assist with NIH PubMed Central (PMC) manuscript processing; update the Langer CV invited lectures section and possibly other sections; compose, type, edit, and proofread; independently reply to correspondence; draft materials, including presentations; edit and assist with research paper preparation; coordinate upgrades, etc., to Professor Langer’s telephone, computer, and other electronics; prepare/process purchasing and accounting forms; assist with budget management; maintain supplies; oversee office space; change/update manuals, etc.; and assist with other duties as assigned. May monitor and coordinate the work of students/temporary staff.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; five years’ related administrative experience; ability to prioritize and manage multiple deadlines simultaneously, work independently with minimal supervision and as a team member, and write and edit correspondence for grammatical accuracy; tact, discretion, and good judgment with sensitive/confidential matters; experience researching and resolving highly complex problems and proactively developing tools/strategies to meet goals and deadlines; strong organizational, time-management, interpersonal, and verbal and written communication skills; ease with in-person and telephone contacts; and proficiency with Microsoft Word, PowerPoint, and Excel.  PREFERRED:  MIT experience.  Job #23872-6
