POSITION TITLE: Senior Events Coordinator


POSITION SUMMARY:

We have an exciting opportunity for a Senior Events Coordinator supporting the Department of Marketing and Communications at Scripps Research in La Jolla, California, home of some of the world's most renowned scientists. We are seeking an experienced and detail-oriented Senior Events Coordinator to lead the planning, execution, and management of our company's events portfolio. The Senior Events Coordinator will be responsible for coordinating a variety of events, ranging from corporate meetings and conferences to promotional events and product launches. This role requires exceptional organizational skills, strong attention to detail, and the ability to thrive in a fast-paced environment. An instrumental part of the event marketing will include event promotions, sourcing locations and working with vendors, the Events Manager and other members of the Marketing and Communications department.



RESPONSIBILITIES AND DUTIES:

EVENTS

  • Supports the team on a wide range of events, from large external facing events to internal events. Duties include planning, event implementation (both virtual and in-person), and posts event reconciliation. Assists in securing event speakers and hosts. Ensures appropriate A/V technical support.
  • Serves as a department point of contact to various internal clients and constituencies to support event-related needs.
  • Supports event promotion and marketing efforts. Event marketing duties include, but not limited to, print and electronic event promotions; paid and earned event promotions; and sourcing and securing event sponsorships.
  • Works with vendors, including requesting and reviewing proposals, placing orders, processing invoices, and updating event budgets.
  • Provides day-of event support, including setup and teardown; guest, staff, and vendor management; Zoom or other digital platforms for virtual events.

MARKETING

  • Assists in the design and implementation of Institute marketing campaigns.
  • Actively participates in marketing strategy discussions.
  • Collaborates with a cross-functional team of graphic designers, copywriters, social media experts, and photographers/videographers, in the strategic development of messages and deliverables.
  • Prepares marketing reports and presentations by collecting, analyzing, and summarizing data.
  • Tracks marketing objectives, timelines, and deliverables, ensuring that key milestones are met.
  • Serves as primary Institute point of contact for updating and maintain the Institute website(s)
  • Details of established essential functions for this position will be addressed/discussed during the interview process.

REQUIREMENTS:

  • Bachelor's degree (or equivalent) in marketing, advertising, or communications preferred.
  • Minimum of two years' experience in, and knowledge of planning, production, and management of large, small, and high-profile events with diverse audiences.
  • Knowledge of traditional and digital marketing, content marketing, and social media marketing.
  • Demonstrated integrity, dependability, sound judgment, teambuilding, and resourcefulness to establish and maintain collaborative, positive, and effective working relationships with multiple and diverse constituency groups.
  • Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
  • Expert knowledge of Zoom platform (webinar and meeting functionalities, recordings, breakout sessions).
  • Possess excellent verbal and written communication, interpersonal, listening and spelling skills.
  • Recognize priorities, work well under pressure, ability to meet deadlines.
  • This is an on-campus position requiring 4 days per week working onsite from our La Jolla campus, with flexibility to work 1 day per week remotely from home.

PHYSICAL REQUIREMENTS:

May include: Stationary position for an extended period of time, traverse campus/facility as needed, operate machinery such as computer, phone, copy machine; exposure to cold or hot temperatures.

COMPENSATION:

The expected hiring range for this position is $33.65 to $38.45/ hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
