Job Description

The Assistant Director of FGLI Resources and Analytics (AD) is responsible for OSE resource application and allotment oversight and will be responsible for budget management, report generation and forecasting in consultation with the Director of Office of Student Enrichment. The AD serves as the primary resource, on behalf of the Office of Student Enrichment, for undergraduate students from LSES, first generation, DACA/Undocumented, and/or non-traditional backgrounds, working with individual students on identifying areas of need in order to connect them with various campus and community resources for comprehensive support. The AD oversees budget management and preparation, and is responsible for ensuring compliance and financial standards throughout the department. The AD is responsible for strategically developing collaborative working relationships with a variety of key campus partners, community members, and departments within the Division of Student Affairs as appropriate, acting as the primary liaison between the office and other constituents, both on-campus and off-campus, where FGLI resources, assessment, and reporting are central.

The Assistant Director is a full-time 12-month position with some late night and weekend responsibilities throughout the academic year, as well as some limited evening and weekend responsibilities throughout the summer.

Essential Duties and Responsibilities:
  • Provide management and oversight of the entire student enrichment funding process, including application intake and review, all purchasing requests, and overall budget management.

  • Responsible for analyzing and organizing all of the OSE reconciliations of GLez, Banner, and Student Enrichment Fund sub-ledger to detect, identify, and investigate errors or omissions in financial accounts. Investigating as needed in order to better organize and report on over $1 million dollars of financial operations for the OSE.

  • The Assistant Director reviews and analyzes all financial expenditures and applicants in order to forecast future financial needs and funding considerations for the OSE.

  • Responsible for the continual review, development, and administration of all stated policies and procedures related to funding of students are followed, including but not limited to the approval of eligibility by the Office of Financial Aid.

  • Leads OSE in data collection, assessment, and forecasting initiatives in order to lead strategic planning efforts throughout the office. This includes creating assessment tools to capture a broad scope of data and analytics, which will inform best practices and future resource allocation planning.

  • Responsible for generating endowment reports for the endowed or gift funds designated to the Office of Student Enrichment, in excess of $1 million dollars.

  • Work directly with students one-on-one throughout every step of the funding process, to both determine individual need and assist with student’s need fulfillment accordingly.

  • Develop a strong understanding of the work of the various Division of Student Affairs departments and the Office of Financial Aid in order to connect students with important campus resources.

  • Conduct individual student appointments – both scheduled and on a walk-in basis – related to assisting students from LSES, first generation, DACA/Undocumented, and/or non-traditional backgrounds with enrichment opportunities and resource problem-solving in order to connect students to existing resources on campus and/or utilize departmental resources for assistance.

  • Participate in large departmental events, maintain up to date appointment notes, and provide leadership in all aspects of funding related activities.

  • Lead and facilitate meetings with the Office of Student Enrichment Board of Students.

  • Actively work to create and maintain collaborative working relationships with campus and community partners.

  • Connects with various colleagues around campus and within the community to successfully partner on programs, workshops, and other events, i.e. campus partners, academic liaisons, and topical experts.

  • Develops a strong understanding of the work of the various Division of Student Affairs departments and the Office of Financial Aid in order to best connect students with important campus resources.

  • Participate as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Student Activities Office, Gender Relations Center, Multicultural Student Programs and Services, Office of Community Standards, RecSports, University Bands, Family Resource Center, and Student Media; Support and assist with major programs and events within the Student Development team and the Division of Student Affairs at large, in support of overall student participation and successful outcomes.

Minimum Qualifications

  • Candidates must possess a Master’s degree in College Student Personnel, Higher Education Administration, Counseling, Master of Business Administration (MBA), or a related field.
  • Qualifications include 2-3 years of experience working with university students from culturally diverse backgrounds; demonstrated program development/implementation and outcomes development/assessment skills; ability to maintain high levels of confidentiality and sensitivity towards issues related to the Office of Student Enrichment’s vision and mission; ability to work collaboratively in higher education with faculty, staff, and students at all levels; effective interpersonal skills including a willingness to create a challenging but welcoming environment for all people.
  • Preference will be given to candidates who have specialized training and experience in budgeting, reporting, resource allocation, and knowledge of GLez .
  • The successful candidate will also possess a commitment to formulating educational opportunities, consistent with the mission of a Catholic University founded by the Congregation of Holy Cross.
