Responsibilities*

The School of Dentistry seeks a Research Administrator Intermediate to provide excellent customer service to our research faculty and technical staff. You will be part of the Contracts and Grants Shared Services (CGSC) team, reporting to the CGSC Lead. The CGSC is located in the Office of Research and supports the pre and post-award research enterprise. 

Post Award (50%):

  • Efficiently and effectively monitor expenditures on sponsored and non-sponsored projects, providing faculty/staff with recommendations for adhering to sponsor approved budget allocations.
  • Review and reconcile monthly activity using departmental processes, resolving issues independently, reporting areas of concern to project directors and administration, of funds, request item types, and make other changes/requests as necessary.
  • Track and manage cost share commitments, requesting cost share transfers each fiscal year if necessary.
  • Initiate set up of subcontracts, approving concurrence reports, and tracking expenses for adherence to budgetary guidelines. Is proactive in monitoring the sponsored projects and anticipates post award changes such as re-budgeting requests, personnel (key and non-key) changes, no-cost time extensions, cost sharing changes, project scope changes, transfer of projects, early terminations, and renewal of subawards and subcontracts.
  • Responsible for monitoring and initiating sponsor invoicing on milestone driven projects.
  • Assist in the enforcement of various sponsored research policies and procedures, and resolve inquiries as needed.
  • Track outstanding account receivables, reporting items of concern to the Department and College.
  • Prepare and/or submit requests for journal entries as needed.
  • Work with Sponsored Programs on the preparation of annual and/or final FSR, UG Reports, and other financial reports as required in a timely manner.
  • Submit necessary effort changes, working with department Unit Administrator and HR staff. Meet with faculty and research staff as necessary.
  • Runs queries to assist faculty and staff with the preparation of Current and Pending support documents.

Pre Award (40%):

  • Advises and assists faculty, fellows, and students with the submission of internal and external grant applications to federal, non-federal, and industry sponsors.
  • Coordinates the submission process, by meeting with PI to review applications, assisting with budget development and providing guidance on school and sponsor guidelines.
  • Completes UM and sponsor proposal forms as needed. Provides assistance with review and approval of indirect cost waivers and cost sharing requests.
  • Ensures all proposals meet agency and University guidelines, published timetables, and deadlines.
  • Facilitates obtaining required PAF approvals including participants from other UM units and/or external partners.
  • Comply and advise regarding University and School research policies including: project budget development, accounting principles, sponsor regulations, sponsor selection, and contract terms and conditions.

Other (10%):

  • Resolve and respond to general inquiries from research faculty, staff, students, departments and vendors.
  • Perform other duties and provide ad hoc reporting as requested.
  • Provide cross coverage and back-up support to colleagues as needed.
  • Represent office on institutional task forces related to research administration.
  • Collaborate and network with peers to learn and share best practices for efficiency, effectiveness, reducing liability, etc. Participate in training and volunteer opportunities to maintain a high level of knowledge, skill, and experience.
  • Represent the department to other units, administrators, and outside agencies.
  • Other duties as assigned.

Required Qualifications*

  • Bachelor's degree and 3+ years of progressive grant and contract experience or equivalent combination of education and experience.
  • Awareness of sponsored research policies, rules and regulations. 
  • Ability to learn new technology and improve skills with the use of spreadsheets and word processing.
  • Must have a demonstrated ability to prioritize, complete tasks in a timely manner, and work under pressure of multiple deadlines.
  • Ability to work professionally and effectively with various levels of staff, management and faculty.
  • Must possess problem solving skills and exceptional organizational skills with meticulous attention to detail.
  • Must have a demonstrated ability to work both independently and collaboratively within a team.
  • Ability to learn to think strategically and see how parts interact with the big picture.
  • Ability to learn to effectively manage and execute multiple tasks, projects and priorities including the ability to prioritize workload to meet deadlines.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written skills necessary in order to communicate intricate job-related processes to internal and external customers.
  • Willing to attend internal training (Navigate) to advance Research Administration career.
  • Experience with maintaining regular attendance to complete the responsibilities of the position.

Desired Qualifications*

  • Knowledge of university accounting principles and applications.
  • Experience with university and sponsored research policies, rules and regulations.
  • Familiarity with UM Systems, including Business Objects, M-Pathways, eRPM, and M-Reports.
     

Work Locations

This is a hybrid position with work completed onsite and remote.  Current practice is one day per week onsite and four days per week remote.
