Summary

The Department of Biomedical Engineering (BME) is a joint academic department with reporting lines to the College of Engineering and the Medical School.  The dual-school environment includes a growing faculty roster within both schools, a large and increasing collaborative research portfolio, multi-building research facilities, innovative instructional programs at all academic levels, and a focus on research translation and entrepreneurship.  BME is pursuing strategic goals to establish enhanced connections within and beyond both schools.  By launching shared facility cores to enable faculty success in research and providing an educational experience for undergraduate students through Ph.D. candidates, BME strives to best prepare graduates for the multitude of career options at the interface of engineering, life sciences, and medicine.

The Department seeks a full-time Student Services Assistant with a customer-focused work ethic and a strong interest in contributing to students academic success. As an essential member of the student services team, this position will provide student and programmatic support. This position will report directly to the Student Services Manager and receive functional supervision from the Undergraduate Associate Chair and Chief Department Administrator.

Responsibilities*

Reporting directly to the Student Services Manager:

UNDERGRADUATE PROGRAM SUPPORT

  • In consultation with the Associate Chair for Undergraduate Studies and the Undergraduate Program Advisor, complete entry of time schedule, instructor/GSI information, textbooks, classroom, and course guide information.
  • Issue course permissions.
  • Assist with logistics related to all undergraduate events (graduation reception, undergraduate recruitment, awards ceremony, etc.).
  • Assist faculty with course logistics, accommodated testing; or other faculty requests.
  • Provide administrative support for department initiatives (SURE, ABET, Undergraduate Education Committee, etc.). 
  • Provide support for Walk-in Advising, Campus Days, Prospective student visits, Orientation, and Declaration advising.

GRADUATE PROGRAM SUPPORT

  • Assist with logistics related to all graduate events including recruitment weekend, new student orientation, EMERGE, GSI training, etc.
  • Order supplies, promotion materials, business cards, etc. for graduate programs.
  • Provide administrative support for external recruiting activities that are organized by the student services team.

GENERAL DEPARTMENT SUPPORT

  • Coordinate course evaluations at the end of each term and provide a report to department leadership.
  • Coordinate room requests for classes, meetings, seminars, etc.
  • Assist Student Services Manager/Chief Department Administrator with creation and maintenance of financial aid item types.
  • Maintain and organize applications for Graders and Instructional Aides.
  • Maintain department email lists.
  • Serve as the first point of contact troubleshooting registration issues.
  • Assist with departmental seminars and other events as necessary.
  • Assist with web page maintenance.
  • Other duties as assigned.

Required Qualifications*

  • Associate degree or equivalent degree in related field.
  • Intermediate Level:
    • Minimum of 2 years of related administrative work experience.
  • Senior Level:
    • Minimum of 4 or more years of related administrative work experience.
  • Successful history of working in a team setting and offering exemplary customer service.
  • Ability to work independently, sometimes with minimal supervision.
  • Ability to exercise independent judgment and employ basic reasoning skills.
  • Demonstrated ability to take initiative and imagine better ways of organizing information and supporting students through administrative processes and programming.
  • Excellent organizational, communication, critical thinking, and problem-solving skills.
  • Computer competency for formatted documents, spreadsheets, databases, and data retrieval.
  • Demonstrated excellence in verbal and written communication.
  • Ability to prioritize multiple projects simultaneously and successfully meet deadlines.
  • Interest in a career in student services and higher education.
  • Flexibility to occasionally adjust hours to host and/or attend student events.
  • Must support, encourage, and respect a diverse, equitable, and inclusive community.
     

Desired Qualifications*

  • Bachelor's degree and 2 years of related work experience.
  • Reasonable knowledge of UM policies and procedures, particularly relating to Student Services.
  • Experience working in a public university setting.
  • Knowledge of issues related to diversity, equity, and inclusion in a higher education environment.
  • Experience with M-Pathways or equivalent software for student administration and curriculum data entry functions.
  • Interest in learning Business Objects, working with data, and preparing reports.
     

Work Locations

The Michigan Engineering Office of Biomedical Engineering operates in a hybrid work environment consisting of both in-person and remote work.
