Job Summary (includes but is not limited to the following, other duties may be assigned)

Provides full administrative support duties to the President of Retail and other senior Retail leaders as assigned. Exercises high levels of professionalism, maintains confidentiality, tact and diplomacy in all interactions both with internal and external stakeholders. Uses advanced technical skills to prepare advanced correspondence including letters, memoranda, and summary reports. Regularly conducts research, drafts presentations and handles sensitive information requests. May provide assistance on personal matters such as arranging personal appointments, travel and lodging. May require flexibility to be accessible beyond normal office hours or weekends as warranted.

Serves as the primary figure in the planning and coordination of large company wide events and communications. Responsible for planning and organizing management office events and annual company celebrations. Plans, coordinates, and ensures the President's schedule is carefully and thoughtfully coordinated, considering availability, and taking into account urgent or time-sensitive matters. Communicates directly, and on behalf of the President, as needed, on matters related to President's initiatives. Follows up on contacts made by the President and supports the cultivation of ongoing relationships as directed. Prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Assists in determining appropriate course of action, referral, or response. Maintain a high-level of confidentiality in all areas of discussion with the President.

Job Responsibilities

Assist and Support the Retail President

  • Create and manage all aspects of travel arrangements; reconcile expense accounts; approve and process payments on behalf of the President.
  • Prepare, edit and draft correspondences, PowerPoint presentations, such as the Board slides, Visio, Word and Excel and Power BI documents accordingly.
  • Manage the Presidents calendar ensuring conflicts are resolved. Schedule, manage and maintain calendar daily thoughtfully to avoid consistent back-to-back meetings. Anticipate needs based on knowledge of the President's plans and manage the calendar and to make sure President is aware of meetings to allow time for appropriate preparation.
  • Manage contacts that are both internal and external; represent management and solve escalated problems and negotiate outcomes as requested.
  • Review written material for accuracy and completeness; check calculations for accuracy; reconcile data.
  • Maintain and organize presentations and project files, increasing efficiency.
  • With limited to no guidance, prioritize and execute responsibilities; checks own work and the work of others as needed.
  • Work independently under little or no supervision and regularly work with confidential information.
  • Coordinate and/or take lead responsibility on special projects and ad hoc requests of the President of Retail.
  • Other duties as assigned.

Assist the Retail Senior Leaders

  • Work with IT to support company-wide townhalls.
  • Maintain company documents such as seating chart and org chart.
  • Create and maintain internal employee communications to Retail employees on behalf of Sr. Leaders regarding important information, customer visits, office closures, etc.
  • Coordinate and manage office property moves, buildouts, transition of offices; coordinate internal moves and floor plan updates.
  • Arrange and oversee all aspects of conferences, trade shows, and company events; required negotiate contracts, budget, manage and process expenses as needed.
  • Consistently lead complex assignments requiring critical action; regularly make recommendations for new procedures and lead implementation; assist management with problem solving around reoccurring, systemic problems.
  • Make decisions of a moderate to advanced scope and manage decisions that impact the administrative operations of department deadlines.
  • Work with AP and Controller to edit and publish yearly expense policy as applicable.
  • Plan company events such as annual charity events, National Sales Meeting, sports teams etc.
  • Order and maintain stock on marketing and branded items as needed.
  • Other duties as assigned

Job Requirements

  • Business or related Undergraduate Degree, technical/business school or equivalent experience.
  • Minimum 7 years' experience with advanced executive support including managing office operations, and an extensive knowledge of tools, software and other technologies to do the work with an expert level proficiency in Power Point, Excel, Visio, Word, and the suite of MS Office products.
  • Demonstrated knowledge and experience creating and using business application software including spreadsheets, databases and word processing.
  • Must demonstrate excellent oral, written, and interpersonal communications

Salary Information - Position eligible for annual bonus.

Hourly pay range $27.10 - $39.97
