Job Summary

The Maricopa County Community College District Office seeks to fill two positions; 1) Executive Administrative Coordinator in the Office of the Provost and 2) Executive Administrative Coordinator in the Office of the Chief Operating Officer.

The Executive Administrative Coordinator serves as the primary point of contact for internal and external constituencies on all matters pertaining to the assigned office. This position will interact and serve as liaison to Executive Leaders across the system and, as necessary, to the Governing Board; may organize and coordinate executive outreach and external relations efforts and oversee special projects. The Executive Administrative Coordinator works independently on projects and other assignments, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion, requiring a substantial amount of tact, judgment, and initiative.

Essential Functions

50% - Provide executive-level administrative support and office management for a senior executive to ensure excellence in service and continuity of daily functions and operations; manage high volume executive calendar, incoming/outgoing calls, travel arrangements/itinerary, and serve as a point of contact for all onsite visitors. Perform complex administrative duties requiring extensive knowledge of the operations of the Executive office, the district, and colleges. Prepare correspondence independently or from oral instruction including material of a confidential nature. Compose timely and professional responses to inquiries; ascertain priorities and communicate to executive accordingly. Answer questions and provide information to district personnel and others regarding district policies, procedures, and regulations.

30% - Manage recurring department projects; conduct follow-up with key collaborators and colleagues to ensure timely completion of tasks and commitments; achieve operational objectives by preparing and completing action plans, monitoring budget and resources, tracking deliverables, determining process or system improvements, and implementing change as needed. Analyze data, development of reports, proofread and editing of documents; facilitate collection of information necessary to complete projects. Serves as a proxy for reviews and approvals; may direct the work of others.

20% Oversee logistical planning, catering, and communication for unit meetings and events. Coordinate and resolve unit-related issues not requiring executive attention and ensure successful resolution of issues. Operate per laws, regulations, policies, and procedures; apply them to problem situations. Exercises independent judgment and confidentiality at all times. Develops an effective working relationship with internal and external constituents. Functions with strong attention to detail and a high level of organization. Conducts other duties as assigned

Minimum Qualifications

Bachelor’s Degree from a regionally accredited institution in business administration or a related field and six (6) years of varied and increasingly responsible and complex office, secretarial or administrative office support experience, including public contact. A minimum of two (2) years of experience supporting C-Suite executives.

OR

Associates Degree from a regionally accredited institution in business administration or a related field and eight (8) years of varied and increasingly responsible and complex office, secretarial or administrative office support experience, including public contact. A minimum of two (2) years of experience supporting C-Suite executives.

OR

High school diploma/GED and ten (10) years of varied and increasingly responsible and complex office, secretarial or administrative office support experience, including public contact. A minimum of two (2) years of experience supporting C-Suite executives.

Desired Qualifications

A. Five (5) years of experience providing high-level administrative support to a senior executive in an area of operations support, accounting, administrative, office management or related role.

B. Experience managing department budgets including coordinated tracking and development of reports.

C. Experience managing assigned projects independently while anticipating and preventing any possible complications.

D. Experience adapting to changing work requirements in a fast-paced environment while managing multiple tasks and priorities.

E. Effective analytical and problem-solving skills

F. Proficient with Microsoft Office / Google Suite.
