About the Department

The 900+ positions of the Facilities Division service the students and staff of the University’s teaching, research/administrative space and 2,240 acres of infrastructure. The Facilities Division provides design and building services, maintenance, custodial, landscape, solid waste removal, utility, mail, and motor pool services 24 hours a day, 365 days a year. The goal is to deliver cost effective services to the University, ensure completed projects and maintenance that conform to codes and regulations, while minimizing University liabilities and disruptions caused by the maintenance, repair, building, and equipment modifications to the University.

The primary responsibility of the organizational unit is providing cleaning, sanitizing, and pest control services to over 10 million square feet of campus space. This service is provided through the utilization of over 320 staff members.

Essential Job Duties

The primary purpose of the Administrative Support Associate position is to provide administrative support to over 300+ staff members within University Housekeeping. This position is supervised by the University Housekeeping Administrative Support Specialist Supervisor but provides day-to-day support to three Building Environmental Managers (Associate Directors [AD’s]).

The Administrative Support Associate position will be responsible for:
  • Coordinating training, tracking leave administration programs, i.e., Family Medical and Family Illness Leave, web leave entries, vacancy postings, and working with various other units to help accomplish the unit’s mission
  • Coordinating work requests, managing unit work request systems by closing out work orders, tracking receipts, and submitting and tracking equipment inventory

The applicant must have time management skills, be proficient in Microsoft, have the ability to work within a fast-paced work environment and be a team player.

Minimum Experience/Education

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Other Required Qualifications

  • Demonstrable experience and ability to work under general supervision or independently as a team member;
  • Must possess excellent interpersonal, communication, and customer service skills;
  • Must have great organizational skills and ability to utilize various office equipment;
  • Must be able to compose and edit documents in a variety of software applications;
  • Proficient experience in Microsoft Office suite (Word, Excel, Access, PowerPoint) (or similar software) and have working knowledge of e-mail and computer software programs in addition to excellent knowledge and skills with financial programs;
  • Must be able to understand budgets, in addition to tracking and reconciling office supply expenditures;
  • Ability to deliver high-quality work under the stress of deadlines;
  • Must be able to effectively communicate verbally with supervisors and the general public and understand verbal and written instructions in addition to communications regarding work assignments and other matters;
  • Strong attention to detail;
  • Must be service-oriented and flexible with a “can do” attitude.

Preferred Qualifications

  • Office administrative experience;
  • Skills in constructing and delivering presentations.
