Location: on-site in La Jolla California
We are seeking a Senior Occupancy Planner with Lab experience to manage laboratory space for a specific JLL client by performing lab planning, analyzing the space, utilities, and type of space needed providing planning solutions. You will manage the capacity and demand of laboratory space in a building, campus or region portfolio, by coordinating with a specific clients at the business unit level. In this role, you are will provide space availability, laboratory types, workplace conditions, and headcount projections by business unit.
The Job:
General Responsibilities:
Office space
At a site or campus level, support the development and delivery of Space Planning solutions in line with Property Strategies that meet the Business needs for space and / or changes to space allocations.
Site level allocation blocking, stacking, adjacency, and planning.
Develop migration plans and sequencing of group-level and individual moves.
Manage and maintain CAFM / IWMS data to ensure accuracy of reporting.
Facilitate and/or resolves planning issues identified in the customer planning meetings with MAC team.
Compilation of a tactical view (e.g. 6- 24 months) of the specific campus to support the business needs.
Integration of the tactical plan into the strategic forecast of business space requirements
Support the preparation of communications that assist the Business Reps / other involved parties to understand the proposed accommodation solutions including preparation of ('to / from') floor plans / stack plans, summarized data, spend approval documents, etc.
Recommends, educates, and enforces space policies/standards, procedures and protocols and notifies client of customer requested exceptions.
Supports data accuracy audits.
Collaborate on site-specific Planning Strategies with RE&F Managers and the Occupancy Planners
Act as POC for site and campus level space requests
Collect and validate current and bottom-up forecasted headcount projections; inform impacts to office demand.
Reporting
Track and report actual versus projected office demand at the building and floor level.
Reports the current supply and capacity, and, site metrics, project activity and optimization opportunities.
Track and report incoming space requests
Analyze site level attendance and occupancy data.

Work in conjunction with Occupancy Planner(s) to assess all requests for space and scheduled moves for appropriateness.
Perform assigned space project studies and investigations at respective site(s).
Develop migration plans and sequencing of group-level moves/relocations of office and laboratories.
Develop stacking diagrams by geographic location, by building and by floor.
Identify and develop alternative space solutions adhering to requested needs in accordance with major initiatives affecting planning decisions for the sites.
Summarize recommendations for action and consideration by the client and gain agreement on final solution.
Measure, monitor and report cost saving and value-added contributions.
Collaborate with client laboratory lead to review stacking strategies and to provide workload forecast related to project moves that are planned to occur based on occupancy plans/strategy.
Facilitate communication between portfolio laboratory lead, facilities, and JLL occupancy planning.
Brief key stakeholders, JLL management team, and the business to outline occupancy planning activities for relocations
Lab Planning
Working with site engineers, department leads, and ECQ (lab space managers) organization to assist lab projects
Plan and implement the relocation of scientific laboratories and support facilities, including transporting laboratory contents, equipment, instrumentation, glassware, chemicals, corresponding laboratory offices and office contents in accordance with corporate guidelines that maximizes use of space.
Using latest lab planning standard metrics, recommend, educate and administer lab space policies/standards, procedures and protocols and provide notification to client of customer requested exceptions.
Apply general knowledge of research laboratory facilities, equipment and instrumentation, processes and procedures, including typical laboratory utility services used (electric, gas, HVAC, etc.) to lab plan.
Assist in developing site-specific planning strategies with senior leadership
Lab Move Management
Enforce and advise on general and laboratory safety, EH&S required protocols, involving cleaning, decontamination, and moving requirements.
Manage and coordinate the laboratory move process with outside vendors, internal union craft labor, and laboratory support personnel, EH&S personnel, OEM equipment support, asset recovery, and direct interaction with research scientific community.
Participate in project/move coordination planning meetings and audits comprising of seat assignments, occupancy, vacancy, labs and equipment. Develop high-level costs estimates and analysis for larger lab moves and restacks. Obtain OEM pricing if needed, and supporting vendor proposals
Conduct periodic physical audits of space and occupancy.
Drive, facilitate, and document meetings as appropriate to support above tasks.
Work order / project related work:
Issue formal requests for facility/furniture modifications.
Collaborate with project engineer providing cost estimates to solidify funding approval.
Ensure adherence of change management and the facilities management system updated.
Collaborate with Facilities manager for lab moves, disconnect and reconnect.
Data Analytics:
Maintain accuracy of database of space inventory (type and size) and space utilization (occupants and support).
Review and approve data updates suggested by field audits.
As available update and facilitate the lab utilization and lab bench reporting metrics.
Analyze, monitor and report actual and projected capacity and occupancy.
Identify areas of compression and opportunities for better utilization of real estate.
Requirements:
BA/BS degree in Architecture, Construction Management, Engineering, Interior Design or Real Estate
5-10 years of relevant and successful experience in space planning, project management or move management
An advanced degree is a plus
Comprehensive knowledge of space planning, interior design principles, facility & furniture systems, architectural methods & codes as they relate to industry standards and procedures
Excellent computer skills, including fluency in all MS Office suite applications, and the ability to quickly learn and effectively utilize various facility management software tools
General working knowledge of research laboratory facilities, equipment and instrumentation, processes and procedures are a plus.
Demonstrate strong innovation, collaboration, organization, communications, influencing and analytical skills.
Easily manage multiple assignments simultaneously and exhibit a strong customer service orientation
