Working hours: Tue- Fri 9:00 a.m. to 5:00 p.m. and Sat 7:30 a.m. to 5:30 p.m (No Mon & Sun)*


OVERVIEW:
A NPO operating weekend school operations for bilingual education programs for kindergarten to high school children is looking for a Japanese Bilingual Executive Director. The Executive Director is responsible for managing and operating the back office of the school through handling all administrative and accounting tasks. You will also be expected to communicate closely with board of directors, principal, teachers, parent volunteers, government officials (both Japan and the State of California), attorneys, vendors, and local schools to ensure the smooth operations of school curriculums. Efficient communication skills in Japanese are very important as well as interest to be in the educational sectors for the next generation bilingual children.


ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT NOT ARE LIMITED TO:
* Perform general office administration and accounting for the non-profit school organization.
* Manage and maintain office supplies, equipment, and facilities.
* Ensure a clean, organized, and aesthetically pleasing office environment.
* Handle internal and external communication, including phone calls, emails, and mail.
* Act as the point of contact between employees and external parties including the Japanese governmental authorities (Consulate General, the Ministry of Foreign Affairs) and California State government.
* Manage relationships and negotiate terms with local schools to rent classrooms, banks, and property management for the office space.
* Distribute information and maintain organization's communication channels.
* Coordinate and schedule meetings, appointments, and conferences.
* Manage executive and team calendars to optimize time and resources.
* Process and track office expenses, including managing budgets and financial reporting and processing invoices.
* Work closely with the board of directors to communicate with parent volunteer groups (PTA, school event preparation teams, library advocates).
* Perform project management of school events, meetings, and activities organized by the schoolteachers and board of directors.
* Manage catering, accommodations, and logistics for various events.
* Supervise and allocate work tasks to a team of administrative assistants (2).
* Act as a point of contact for addressing employee concerns and resolving office-related issues.
* Find solutions to office challenges and suggest process improvements.
* Other duties requested by the board of directors.


QUALIFICATIONS:
* Bachelor's degree in Education, Business, Communication or related field; or a equivalent combination of education and professional experience.
* 3+ years of experience in office management, education, general affairs, or relevant roles. Preferably experience in leadership within a nonprofit organization and/ or education sector.
* Proven experience in communicating with customers in Japanese and managing vendors in English.
* Proficiency in Microsoft Office (especially Excel for budgeting and fundraising).
* Dedicated advocate for education.
* Demonstrated ability to organize the general office administration and lead a team.
* Ability to work onsite (full-time) including Saturdays. (No Sun and Mon).

The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on various factors including, but not limited to, geographic location, actual experience, and job performance.
