IP Conflicts Coordinator

Cooley is seeking a IP Conflicts Coordinator to join the Business Intake & Conflicts team.

Position summary: The business intake and conflicts function is essential to the firm's (1) compliance with (a) ethical obligations prevailing in jurisdictions in which the firm maintains offices and in which it practices and (b) the firm's Risk Management policies and procedures, (2) avoidance of malpractice claims and ethical violations, and (3) ability to promptly onboard new business, in the form of new clients and new matters for existing clients, new timekeepers and new employees in a timely fashion. The IP Conflicts Coordinator monitors and helps process new business forms that deal with IP matters such as patent prosecution and counseling.

The BIC IP Conflicts Coordinator will support the IP Team Lead by searching the parties, subject matter and all relevant patent information associated with IP requests. In addition, the BIC IP Coordinator will help identify and facilitate resolutions for potential IP issues with selected IP partners and submitters. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Process new IP patent prosecution requests with special attention to subject matter and technology issues
  • Identify potential subject matter overlap conflict issues and escalate to subject matter experts for identification and resolution
  • Prepare comprehensive emails as needed to affected attorneys regarding any potential IP conflicts in connection with new work
  • Provide regular updates to attorneys regarding IP conflicts in connection with new work
  • Maintain resolution notes and responses for each new IP client/new matter form
  • Collaborate with the IP Team Lead and other BIC IP Analysts and Coordinators on workflow, subject matter and conflicts training for all IP personnel
  • Actively participate in internal BIC IP training opportunities to expand knowledge and service on an ongoing basis
  • Key point of contact for IP Practice Services on all matters of legal conflict and subject matter conflicts
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 2+ years' conflicts experience supporting client facing departments

Preferred:

  • Bachelor's degree in chemistry, biochemistry, biology, or engineering
  • Experience conducting research
  • Knowledge and experience with IP conflicts resolution
  • Possess working knowledge of rules according to the 37 C.F.R, MPEP, PCT Rules and Regulations, Manual of Industrial Property, foreign patent prosecution rules
  • Knowledge of American Bar Association's Model Rules of Professional Conduct and California State Bar Association's Rules of Professional Conduct

The expected hourly pay range for this position is $29.00 - $43.00/hour. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
