HR OPERATIONS ASSISTANT

Housing & Food Services (HFS) provides on-campus housing to over 10,000 student residents and operates over 40 dining and café locations that serve the entire campus community. POSITION PURPOSE
The HR Operations Assistant (payroll title: Human Resource Assistant Senior) serves as an administrative resource for staff and provides technical support in executing compensation, classification, recruitment, and related human resources functions.

DESCRIPTION OF DUTIES

  • Maintain the employee personnel files
  • Execute the annual Essential Employee notifications
  • Maintain the probation and trial service evaluation process, reporting non-compliance
  • Maintain supplies and office equipment
  • Schedule meetings for the Director and HR Managers
  • Utilize retention standards to maintain records
  • Provide backup to the HFS Reception Desk
  • Maintain organizational charts to ensure they are updated as changes occur
  • Prepare correspondence for signature by Director, HR Managers, and Executive Director
  • Assist in the annual evaluation process through filing, tracking and reporting
  • Advise managers and executives on policies and procedures
  • Monitor leaves of absence and provide guidance to employees and managers on FMLA/PFML provisions
  • Maintain position description library
  • Assist recruitment process by scheduling interviews, screening applications, and marketing and outreach
  • Prepare hiring and offer letters
  • Participate in presentations, and departmental training
  • Manage and track compliance for training completion
  • Support the student employment program by providing guidance and direction to HR Student Assistants
  • ProCard reconciliation
  • Manage and track HR activities and business processes in Workday, such as position changes,

terminations, and compensation changes

POSITION DIMENSIONS
The HR Operations Assistant must possess and maintain working knowledge of the functions and supporting policies and procedures related to Human Resources.

The HR Operations Assistant has a great deal of direct contact with employees who are in the midst of life-changing events and must maintain rapport and confidentiality to serve responsively.

MINIMUM QUALIFICATIONS
Four years of office experience including two years of increasingly responsible experience in a human resource or related setting OR equivalent education/experience.

Experience that demonstrates:

  • Excellent writing, editing, and oral communication skills
  • Success explaining complex policies and procedures
  • Intermediate-level competency in Microsoft Office applications, including Word, Excel, Outlook, Visio, SharePoint, and PowerPoint
  • Effective communication and working relationships with a diverse audience

Equivalent education and/or experience may substitute for minimum requirements.

DESIRED QUALIFICATIONS

  • Experience with Family Medical Leave Act, Americans with Disabilities Act, Labor and Industry issues, and complex scheduling.
  • Working knowledge of UWHires, Workday, SharePoint.

Pay: $3,727.00 - $4,985.00 per month
