Position Summary

 

The Financial Aid and Admissions Specialist is responsible for providing assistance to students with Financial Aid and Admissions and Records requirements and processes. The Financial Aid and Admissions Specialist must have a broad knowledge of College programs and resources and a thorough understanding of all applicable Financial Aid and Admissions institutional, state, and federal guidelines and regulations.

SALARY
Commensurate with experience as determined on Salary Schedule E4, Rank 05 of the Alabama Community College System Board of Trustees salary schedules.

 

Essential Duties and Responsibilities

 

  • Serve as a front office support for the Student Services area; greeting visitors, faculty, staff and students; provide information concerning admission requirements, financial aid, and additional college information to students and parents, including assisting with all electronic portals and self-service.
  • Complete assigned financial aid trainings to gain knowledge to help students with completing the FAFSA. Serve as the point of contact for students and parents and assist with completing the Free Application for Federal Student Aid (FAFSA) answering questions regarding the FAFSA.
  • Support the daily administration of the financial aid process.
  • Process verification, appeal and professional judgment documents and notify the appropriate financial aid personnel that documents are ready for review.
  • Perform monthly reviews of VA files for accurate reporting of student enrollment. Serve as a Veterans Certifying Official for the Andalusia Campus and for back-up for the other campuses.
  • Assign Federal Work Study Program positions, prepare working agreements and I-9 employment forms and other required forms, collect and maintain all required signatures and documents; prepare monthly time reports; calculate correct monthly time; E-Verify; and maintain accurate record of hours.
  • Complete forms required by the Department of Human Resources, Housing Authority, and others as requested.
  • Update admissions records from Conditional Admit to Unconditional Admit status when receipting last checklist item for First-time Freshman, Transfer and Re-admission students.
  • Perform registration activities, assist with the distribution of official college transcripts, assist students with registering for classes, and process change in program of study forms and withdrawals.
  • Review, maintain, and scan Financial Aid and Admissions documents into Banner Document Management System.
  • Accurately enter data and review information on applications for admissions, maintain electronic student files by verifying official transcripts, residency status, and other documentation required; process daily or as soon as possible upon receiving applications.
  • Manage and award Federal Work-Study (FWS) for the Andalusia campus. Coordinate the Work-study program for each campus and maintain the work-study spreadsheet to record student worker information, supervisor contact information, hours worked, and work-study budget. Serve as the final approval authority for all work-study electronic time sheet entries for the college.
  • Attend and assist with student service events on and off campus and to promote financial aid awareness; whether college-sponsored or otherwise as needed.
  • Assist with additional Student Services responsibilities as needed.

 

Qualifications

 

Associate degree or the equivalent coursework from a regionally accredited institution with emphasis in business, education, office administration or related field. Administrative support experience in an office setting and knowledge of Microsoft Suite.
