General Statement

Columbia-Greene Community College is seeking a Director of Accounting for Auxiliary Services who will serve as the administrative and fiscal manager for the Foundation and Workforce New York and manage the accounting for the College Association as well as other grant funds and scholarshipsreceived by the College. This position reports to the Vice President for Administration and Finance and the Director of Advancement Services.

Duties and Responsibilities for Workforce New York

  • Prepares and maintains computerized ledger, related journals, and support documentation for funds covered under the authority of the Workforce Innovation and Opportunity Act.
  • Assists in the development, preparation, and implementation of budgets.
  • Prepares various financial reports and schedules, including monthly reports to NYS Department of Labor.
  • Manages cash requirements and requests cash from State and County sources.
  • Prepares general ledger account analysis, reconciliations, and journal entries.
  • Prepares participant support and vendor payments.
  • Manages annual audit of NYSDOL funds covered under the Workforce Innovation and Opportunity Act.

Duties and Responsibilities for the College

  • Prepares and maintains computerized ledger, related journals, and support documentation for College grant funds.
  • Assists in the development, preparation, and implementation of grant fund budgets.
  • Prepares general ledger account analysis, reconciliations, and journal entries.
  • Monitors and reports NYS unclaimed funds.
  • Prepares/performs the annual Workers Compensation audit.
  • Oversees and manages the financial operations and Bookkeeper for the C-GCC Association that consists of the Virtual Bookstore, Daycare, Athletics, Food Service, and Student Activities Funds.
  • Performs accounting and other operating functions as assigned by the Vice President for Administration and Finance.

Duties and Responsibilities for Foundation Office

  • Prepares checks received for deposit and records the transaction in the appropriate fund (i.e., unrestricted fund or specific restricted fund that includes endowments).
  • Processes payments as required for monthly credit card statement, dues, subscriptions, and the like.
  • Performs monthlyreconciliations with bank accounts, investment accounts,and internal accounts to ensure the accuracy of transactions.
  • Prepares and presents financial statements for the Foundation Board and Investment Committee Meetings.
  • Provides necessary information for annual audit and serves as the Foundation liaison to the auditors.
  • Collects, maintains, and reports data for annual taxes, including 1099s as appropriate.
  • Assists with the timely preparation, submission, and recording of all acknowledgment letters and gift receipts.
  • Provides support to the Director of Advancement Services with data entry into the Raiser’s Edge database according to established policies and procedures.
  • Maintains communication with the Dean of Student Development regarding Emergency Need funding including the amounts available and the requirements of each grant and prepares a spreadsheet to keep track of annual spending.
  • Collaborates with the Dean of Enrollment Management and Director of Financial Aid to manage scholarship awards.
  • Stays current with new resources and technologies relevant to fundraising practices in general and prospect research in particular.
  • Assists the President of the Foundation Board, Foundation Executive Director, Director of Advancement Services, and College President as needed.

Qualifications

  • The ideal candidate will have a bachelor’s degree in accounting with three to five years of accounting experience, preferably in an educational setting.
  • Experience with computerized fiscal systems, QuickBooks, and MS Office Suite.
  • Knowledge of Oracle Database systems, Banner programs/applications a plus.
  • Familiarity with Blackbaud's Raiser's Edge or other fundraising platforms.
  • Position requires excellent knowledge of generally accepted accounting principles and procedures, and knowledge of governmental accounting standards is preferred.
  • The candidate must have strong analytical skills and interpersonal skills combined with the ability to effectively communicate both verbally and in writing.
  • Collaborative team member and systems thinker with an elevated level of organization, highly skilled in the use of donor information systems.

Salary and Benefit Information

Salary $58-65K and will be commensurate with education and depth of accounting experience.
