Summary

The Department of Anesthesiology seeks an Administrative Assistant Senior to support the UH Anesthesia Technician team.  The incumbent will need to be highly motivated, organized, able to manage multiple projects with competing deadlines and provide skilled administrative support with a service detailed attitude and excellent attention to detail.

Responsibilities*

  • Reports directly to the Administrative Manager for Certified Registered Nurse Anesthetist (CRNA)
  • Provides administrative support to Administrative Manager for Certified Registered Nurse Anesthetist (CRNA) and Anesthesia Technician Managers and Supervisors.
  • Assist with the scheduling of Techs using QGenda software.
  • Process Payroll for the UH Anesthesiology Techs, provide detailed attention to payroll corrections triggered by daily schedule changes in Qgenda.
  • Run Payroll PTU reports monthly and gross pay registers for accuracy. Manage/maintain/revise payroll entries.  Manage and update payroll static groups for Anesthesia Tech Managers.
  • Maintain Mandate Tech Logs and assist with On Call and Holiday Call Scheduling.
  • Manage the administrative responsibilities of yearly Tech performance evaluations.
  • Maintain Tech blue folders which are compliance driven, ensuring accurate information.
  • Monitor and ensure tech staff is in compliance with hospital mandatories, BLS, required Health System learning activities (Cornerstone), certification requirements, POC training, and departmental certification requirements.
  • Human Resource processes - Coordinate candidate interviews for staff positions under the direction of the Tech managers, process job postings, assist with recruitment and hiring for open positions.
  • Oversee the onboarding of new hires, including ordering pagers, acquiring ID badges, locker assignments, etc. Will also oversee the offboarding process for staff.
  • Process and track FMLA and Leaves of Absences.
  • Create and maintain staff profiles in File Maker Pro and manage group emails lists.
  • Prepare staff meetings, meeting minutes, and take follow-up action as requested/required.
  • Make travel arrangements and process and monitor P-Card purchases. Reconcile P-Card statements and process reimbursements in the Concur system.
  • Order, manage and track radiation protection gear, dosimeters, and lab coats.
  • Order and monitor supplies, equipment and commodity usage.
  • Work to continuously improve all workplace processes with all process stakeholders and assist with distribution of informational material.
  • Compose, edit, and process email correspondences.
  • Handle matters of sensitive and confidential nature and practice high standards of discretion and confidentiality at all times.
  • This position will play an active role in the administrative team and provide coverage in various areas including payroll coverage across the department as needed.
  • Additional duties and responsibilities as assigned.

Required Qualifications*

Senior Required Qualifications

  • High School Diploma. 
  • A minimum of 4 years of progressively responsible administrative experience.
  • Communicates effectively by demonstrating active listening, superb written and verbal professional communication.
  • Candidate must be self-motivated and demonstrate excellent judgment in problem solving and skilled at balancing and prioritizing work duties. 
  • The applicant must have strong ability to work independently, manage multiple projects simultaneously, meet deadlines and work collaboratively with others. 
  • Highly organized, excellent attention to detail, ability to manage time efficiently and can work independently. 
  • History of exemplary skills in interpersonal relations, customer service and or ability to resolve issues in a diplomatic manner.
  • Advanced skills in Word, Excel, PowerPoint and Concur.
  • Demonstrated ability to interact effectively in an interdisciplinary health care team.


Intermediate Required Qualifications

  • High School Diploma. 
  • 2-4 years of progressively responsible administrative experience.
  • Communicates effectively by demonstrating active listening, superb written and verbal professional communication.
  • Candidate must be self-motivated and demonstrate excellent judgment in problem solving and prioritizing work duties.
  • The applicant must have strong ability to work independently, managing multiple projects simultaneously, meet deadlines and work collaboratively with others.
  • Highly organized, ability to manage time efficiently and can work independently.
  • History of exemplary skills in interpersonal relations, customer service and or ability to resolve issues in a diplomatic manner.

Desired Qualifications*

  • Associate or bachelors degree
  • Previous payroll experience desired
  • Bi-weekly Punch Time experience and hospital payroll experience.
  • Previous healthcare experience.
  • Understanding of University policies and procedures.

Work Schedule

Currently this position requires weekly on-site work and has potential flexibility for a hybrid work environment. The candidate must live within a reasonable commuting distance from Ann Arbor.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
