Job Description

The Loretto Heights School of Nursing (LHSON) Affiliate Faculty Administrative Assistant provides administrative and technology support to the Affiliate Faculty Coordinator. The Administrative Assistant is responsible for maintaining affiliate faculty paperwork and evaluations. The Administrative Assistant is responsible for sensitive and/or confidential information, and for creating and maintaining efficient database systems for the School of Nursing. The Administrative Assistant works cooperatively with the School of Nursing students, faculty, and staff.

Major Duties and Responsibilities:

MAJOR DUTIES AND RESPONSIBILITIES
80% Administrative Support

  • Serve as the primary contact for affiliate faculty questions.
  • Demonstrate the ability to handle calls in a calm professional manner and direct callers to the appropriate resources.
  • Collect and track compliance documents for new affiliate faculty.
  • Maintain tracking spreadsheet.
  • Send documents to Human Resources as appropriate.
  • Request affiliate faculty access to WorldClass for HIPPA, OSHA and FERPA quizzes.
  • Ensure that all clinical faculty have student rosters for clinical placements.
  • Send clinical faculty evaluation survey to students at the completion of their clinical rotations
  • Send evaluation summary to the identified person(s), and save in SharePoint folder
  • Keep Affiliate faculty contact list up to date.
  • Interact with faculty, both in the direct report units and with those faculty teaching within LHSON.
  • Assists Administrative Manager to coordinate school special function's including the Nursing Pinning and Recognition Ceremonies, Convocation/Blessing of the Hands, the program orientations, and various school service projects.
  • Ensure student and faculty rights to confidentiality by exercising effective independent decision-making in the absence of the Dean, Directors, and the Administrative Manager.
  • Assist in maintenance of school statistics in preparation for internal and external reports.
  • Create and maintain workflow documents for program support.


20% Other

  • Provides vacation/sick coverage for other LHSON Administrative Assistants.
  • Participates in cross training to provide back-up, support, and ensure continuity in operations and technological support.
  • Performs other duties as assigned by the School Dean, Administrative Manager, Program Directors, Assistant Dean and faculty to facilitate the smooth operation of the School.
  • Supports continuous improvement by examining processes to discover and eliminate problems.
