Position Summary:

The academic scheduling Sr. Coordinator is responsible for developing, maintaining, and leading processes to build the academic course schedule.

The Sr. Coordinator works closely with department chairs and deans to build a campus-wide, comprehensive schedule of academic classes according to policy and procedure. The Sr. Coordinator develops and plans the scheduling cycle annually for all courses offered for credit, using historical trends and forecasting models to aid in decision-making for course offerings.

This position is responsible for functional oversight of systems designated for academic scheduling in a SaaS environment. The Sr. Coordinator will serve as the functional lead for scheduling software. In this capacity, this position will be responsible for using the software effectively, testing new functionality, maintaining permissions, and training users.


Essential Functions:

  • Develop, maintain, and utilize reports analyzing demand, historical enrollment trends, and scheduling insights to determine course offerings each semester.
  • Schedule academic courses according to predicted demand as evaluated for the number of offerings, time, location, and modality.
  • Collaborate with advising and registration to ensure students can build schedules to stay on track for their educational goals.
  • Establish the class schedule production timeline and work collaboratively with faculty to meet deadlines.
  • Build and maintain relationships with instructional leadership.
  • Work collaboratively with non-credit programs to schedule and utilize CWI spaces for cost-effectiveness.
  • Oversee the maintenance of course sections in the Student Information System (SIS) and the scheduling software.
  • Oversee batch room assignment processes in the scheduling software.
  • Oversee the synchronization of data between the Student Information System (SIS) and the scheduling software.
  • Run reports to audit course section set up.
  • Recommend best practices in academic scheduling.
  • Lead ongoing development of scheduling standard operating procedures.
  • Work collaboratively with the CWI dual credit program to schedule courses in the high school.
  • Develop and maintain accurate tools and reports to support appropriate utilization of CWI spaces and resources.
  • Oversee maintenance of reservable spaces in scheduling software; approve events as needed.
  • Maintain relationships with providers of the academic scheduling software in a SaaS environment.
  • Evaluate, test, and implement functionality of the ERP system and event scheduling software.
  • Manage user permissions in SaaS scheduling software and train users.

Minimum Qualifications:

  • Bachelor’s Degree in a relevant discipline or equivalent experience.
  • 3 years of experience in a college/university Registrar’s office or equivalent experience.
  • Strong functional system experience and expertise in problem-solving within software systems.
  • Strong understanding and knowledge of computer technology specifically related to student information or similar systems. Experience with Colleague by Ellucian ERP or other major ERP systems preferred.
  • Knowledge of FERPA laws, regulations, and guidance.
  • Knowledge and understanding of enrollment and curricular methods, policies, and procedures.
  • Broad understanding of higher-education practices and trends.
  • Knowledge of admission, assessment, financial aid, registration, and student account processes and procedures.
  • Strong cross-cultural interpersonal and writing skills are necessary, including public speaking skills and ability to represent the college in a positive way to diverse populations.
  • Experience working in a community college setting, serving a diverse, non-traditional student population preferred.
